As an Administrative Assistant at InsuranceHub Leavitt, you will play a vital role in supporting our insurance professionals, ensuring that our office runs smoothly and our clients receive top-notch service. Position Summary:
This role oversees Front Desk activities and various administrative functions, supporting insurance professionals and the Senior VP.
Key Responsibilities:
Receptionist & Front Desk:
- Supervise Front Desk operations, answer and direct calls, greet visitors.
Administrative Support:
- Assist Senior VP with AMS tasks and reports (e.g., unbilled monthly report).
- Provide support to the Operations Department.
- Reconcile monthly American Express receipts.
- Handle incoming and outgoing mail, email faxes, and voicemails.
- Order flowers, gifts, gift cards, and office supplies.
- Maintain files, records, and report copier counts.
Office Management:
- Ensure the breakroom is tidy and manage the coffee bar.
- Plan and execute company potlucks and holiday meals.
- Send birthday and anniversary emails to staff.
Documentation & Data Entry:
- Prepare and process documents, ensuring they meet industry guidelines.
Administrative Assistant Qualifications
- 1 years of administrative and/or customer support experience required
- Proficiency with MS Office required
- Proactive problem solving skills required
- Strong written and verbal skills
- Ability to multitask in a fast-paced environment with a sense of urgency and attention to detail
