Job Summary
The Administrative Clerk/Kitchen Manager plays a crucial role in ensuring the smooth operation of administrative tasks and kitchen management within the jail facility. This position requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently.
Principal Accountabilities
The following duties are typical for this classification. - Perform general clerical tasks such as data entry, filing, photocopying, and scanning
- Maintain accurate records and databases related to inmate information, staff schedules, and facility
- Assist with scheduling appointments, meetings, and facility tours as
- Handle incoming calls, emails, and inquiries from staff, visitors, and external
- Oversee the daily operations of the facility's kitchen, ensuring compliance with safety and sanitation standards. Plan and prepare nutritious meals for inmates according to dietary requirements and facility
- Coordinate food ordering, inventory management, and kitchen supplies
- Maintain cleanliness and organization in the kitchen area, including equipment maintenance and sanitation protocols.
- Ensure compliance with relevant regulations, policies, and procedures, including PREA (Prison Rape Elimination Act) guidelines.
- Manage the commissary operations, including ordering, stocking, and inventory control of inmate commissary items.
- Process commissary orders and transactions accurately and in compliance with facility
- Maintain records of commissary sales, deposits, and balances, ensuring accuracy and accountability as
- Monitor and reconcile commissary accounts, addressing any discrepancies or issues
- Prepare and submit reports on kitchen activities, inventory levels, and compliance measures as
- Assist with audits and inspections conducted by regulatory agencies or internal
- Collaborate with other departments within the facility to coordinate administrative tasks and support overall operations.
- Communicate effectively with inmates, staff, and external vendors to facilitate smooth workflows and resolve any issues promptly.
- Provide assistance and support to colleagues as needed to maintain a positive and cohesive work

Experience & Education
- High school diploma or equivalent; additional education or training in office administration or culinary arts is
- Proven experience in administrative support, preferably in a correctional or similar
- Knowledge of office software applications (e.g., MS Office Suite) and basic accounting
- Familiarity with food safety regulations and culinary techniques is
- Strong communication, interpersonal, and problem-solving
- Ability to prioritize tasks, meet deadlines, and work effectively under
Physical Requirements/Working Environment

WORK ENVIRONMENT - This job operates in a professional office environment. Professional attire required. This position routinely uses office equipment such as computers, calculators, multi-line telephones, photocopiers, printers and scanners, binding machines, hand-held recording devices, filing cabinets and fax machines. This position is routinely in contact with the public, other Lincoln County, and State employees, elected officials, and members of other entities.
