Position Summary
Oversees the daily operation of all front desk services to ensure the smooth operation of the Well Pet Clinic (WPC). These operations include staff scheduling, inventory control, presenting ideas for establishing policies and procedures, staff training, bookkeeping, adherence to approved budget, and overseeing client relations. The Lead Receptionist is also expected to be scheduled for regular reception shifts. They will work directly with members of the public to resolve concerns with regard to clinic issues. This is a leadership position and will need to adhere strictly to the Longmont Humane Society workplace culture agreement and communication protocol and actively practice our core values. This position reports to the Well Pet Clinic Practice Manager (WPCPM).
Essential Duties and Responsibilities
- Manage scheduling, assignment, and overall success of reception staff
- Ensure proper training, usage and maintenance of clinic software including PetPoint and eVetPractice.
- Maintains inventories and completes ordering of supplies and equipment and ensures that appropriate quantities of all supplies are on hand for the front desk
- Maintain schedule and flow of appointments, working jointly with the WPCPM
- Ensures the effectiveness of the department’s programs and protocols, working jointly with the WPCPM
- Work with the WPCPM to ensure all clinic procedures are accurately reflected in SOPs
- Help with the daily closing and balancing activities (i.e., end of day reports, daily back-up) and ensure deposits are delivered to the Finance Manager in a timely manner.
- Monitor and manage Accounts Receivable monthly
- Monitor the PAC program
- Be the main point of contact for the off-site receptionists (Hello Rache)
- Be proficient in monitoring and updating Rapport communication system
- Be available to work weekend and evening hours as requested by WPCPM or Shelter Managers
- Work with the WPCPM and Shelter Managers to resolve client concerns or complaints
- Report to the WPCPM regarding financials, medical records, and other items as requested
- Good attendance is required
Job Qualifications
Education and Experience:
- High school diploma or general education degree (GED); animal welfare experience a plus.
Knowledge, Skills and Abilities:
- Excellent customer service skills.
- Interpersonal skills and leadership qualities
- Enthusiastic, dedicated team player
- Ability to respectfully communicate with other team members
- Excellent word processing skills and strong working knowledge of Microsoft Office and SharePoint
- Strong organizational skills
- Can work independently with little direction
- Experience with eVetPractice and PetPoint a plus
Working Conditions:

Pay: $17.00 - $18.00 per hour
