Description
OVERVIEW: The Operations Administrator will be responsible for supporting operational functions with a strong emphasis on data management, including the creation and maintenance of spreadsheets to track yield, key performance indicators (KPIs), and other operational metrics. This role also involves customer service, vendor relations, administrative tasks, and facilities management activities to ensure smooth operations at the Glendale facility.
ESSENTIAL JOB RESPONSIBILITIES/FUNCTIONS:
MUST BE BILINGUAL SPANISH
· Hours 10:00am – 6:30pm; 1 Saturday a Month
· Develop, maintain, and analyze spreadsheets to track yield, KPIs, and operational metrics, ensuring data accuracy and generating actionable reports to drive operational improvements.
· Build and maintain strong relationships with customers, vendors, and transportation companies by addressing inquiries, resolving issues promptly, coordinating timely product pick-ups and deliveries, and supporting procurement activities.
· Identify and recommend workflow improvements, track and update operational goals, and ensure alignment with company objectives to enhance overall efficiency.
· Perform and manage administrative tasks, including data entry for orders, scheduling and confirming delivery appointments, and organizing paperwork such as transportation documents, invoices, and inspection reports.
· Assist with production forecasting and line scheduling.
· Assist in packaging and materials management and ordering.
· Assist in additional document development of S.O.P. for industry software operation and training.
· Ensure compliance with safety protocols and work regulations while maintaining departmental housekeeping standards.
· Answer phone lines.
· Notify customers of issues with delivery and/or products.
· Filing any misc. paperwork (transportation, inspections, packing slips, invoices, etc)
· Complete special projects as assigned.

QUALIFICATIONS:
· High School Diploma is required, Associates or Bachelor’s Degree is preferred
· At least 2 years of experience in an office or administrative support role
· Professional, positive personality and demeanor
· Excellent customer service
· Detail oriented, able to multi-task effectively and work well under deadlines
· Proficient with MS Office - Excel, Word, PowerPoint and Outlook
· Must be Bi-lingual Spanish
