ABOUT MARY'S PLACE BY THE SEA
Mary’s Place by the Sea is a nonprofit organization dedicated to supporting women with a cancer diagnosis. The mission of Mary’s Place by the Sea is to support women with cancer through integrative services which complement their medical treatment and empower, educate and support their healing: mind, body and soul.

Our services include: oncology massages, nutrition education, individual counseling, expressive writing, reflexology, Reiki, guided meditation, prayer, yoga, and more. Our guests are given the opportunity to hit the pause button on their medical treatments and daily responsibilities and just be. We offer day retreats and two-night retreats, in addition to a virtual services program. Our integrative services provide our guests rest and support during this challenging time in their lives. They are empowered with knowledge that will aid them on their road to healing. All services, accommodations and meals are provided at NO COST to our guests, thanks to the generosity of our supportive community. Since our founding in 2009, we have welcomed over 12,000 women with cancer as our guests.

TITLE Guest Services Coordinator

COMPENSATION This is a part-time position, three days per week, on-site at Mary’s Place by the
Sea in Ocean Grove. Compensation commensurate with experience.

REPORTS TO Executive Director

POSITION SUMMARY
The Guest Services Coordinator, reporting to the Executive Director, will be the first point of contact for women with cancer seeking support at Mary's Place. The Guest Services Coordinator is the primary contact for screening guests and scheduling guest reservations, in adherence to the Mary’s Place by the
Sea Guest Visitation Guidelines.

ESSENTIAL RESPONSIBILITIES
● Managing the guest screening process
● Reviewing guest reservation inquiries to determine guest eligibility
● Responding in a timely fashion to inquiries and processing and reviewing all accompanying paperwork
● Screening guests through information provided in the reservation inquiry and follow up phone calls
● Working with guests to determine dates for their retreat based on availability
● Monitoring daily room availability and striving to fill to capacity.
● Sending email confirmations when guests have been scheduled, and follow up reminders as the retreat approaches
● Establishing and maintaining a waitlist for dates with no vacancy
● Communicating with Program Coordinator and House Manager on a regular basis
● Managing and reviewing guest registration software

COMPETENCIES
● Excellent verbal and interpersonal communication skills
● Computer proficiency, including email, Word, Excel, Publisher

● Ability to use basic office equipment, including multi-line telephone
● Ability to work well under pressure with many interruptions
● Ability to effectively meet multiple and sometimes conflicting deadlines
● Strong attention to detail
● Ability to actively listen with empathy
● Ability to balance compassion for guests with consistency regarding guidelines.
● Ability to collaborate and communicate with a wide variety of people, including staff, guests and volunteers
● Strong commitment to Mary's Place mission, vision and core values

QUALIFICATIONS and REQUIREMENTS
● Bachelor degree in a related field preferred, or equivalent experience
● Demonstrated knowledge in business office management or nonprofit management preferred
● Minimum of two years of non-profit experience in program administration, business office experience or hospitality, preferred
