What are the responsibilities and job description for the Staff Accountant/Payroll Manager position at McGaw YMCA?
The Staff Accountant/Payroll Manager is responsible for supporting key accounting functions, with a primary focus on payroll administration and credit card reconciliations. This role helps to ensure compliance with local and federal requirements and supports accurate and timely financial reporting. This position works closely with the Sr. Director of Accounting to assist with financial close processes and audit preparation. Additionally, this position supports the internal controls related to payroll and credit card processes to ensure efficiency and accuracy.
ESSENTIAL FUNCTIONS:
1. Payroll Processing and Administration
- Administer bi-weekly payroll processing to ensure accurate and timely payment to employees.
- Maintain and update the Payroll and Time & Attendance systems, including employee setup and changes.
- Ensure compliance with payroll-related federal, state, and local regulations (e.g., 941s, W-2s, ACA compliance).
- Respond to employee payroll inquiries and resolve issues promptly.
- Collaborate with the external payroll service provider to meet weekly, quarterly, and annual reporting requirements.
- Record bi-weekly payroll activity.
2. Credit Card Reconciliation
- Perform monthly reconciliations for all organizational credit card accounts.
- Communicate with cardholders to ensure timely processing and approval of credit card activity.
- Import credit card transactions into General Ledger.
3. Cash Receipts
- Review and post journal entries that were imported into General Ledger from other CRM Systems.
- Record miscellaneous cash receipts via AR module.
4. Financial Reporting and Account Reconciliation
- Support monthly and year-end financial close processes by preparing assigned reconciliations.
- Perform account reconciliations for key balance sheet accounts, including cash and deferred revenue.
- Assist in revenue reconciliations and maintain documentation for contributions above threshold amounts.
5. Internal Controls and Compliance
- Monitor payroll and credit card processes to ensure appropriate internal controls are in place.
- Assist in developing more efficient procedures to enhance the accuracy and security of financial operations.
6. Audit Assistance
- Support the preparation of audit schedules and documentation for payroll, credit card reconciliations, and other assigned areas.
- Work with the Sr. Director of Accounting to ensure audit readiness and compliance with organizational policies.
7. Ad Hoc Support and Reporting
- Provide support for special projects and reporting needs as assigned by the Sr. Director of Accounting or senior management.
Experience/Education/Certification Requirements:
- Bachelor’s degree in Accounting, Finance, or Business Administration preferred
- 2 years of experience in managing Accounting operations, including Payroll, Accounts Payable, Cash Receipts, Cash Management and Banking
- Ability to analyze and present information from diverse financial materials
- Knowledge of accounts payable, payroll, Microsoft Office, including intermediate Excel (such as lookups and pivot tables) and expertise in Payroll/HR systems as well as the related functionality of Financial Systems (Financial Edge a plus)
- Detailed oriented with a high regard for accuracy and able to work independently
- Ability to effectively interact with diverse group of employees and work with managers to help them in solving financial issues
- Energetic, flexible, collaborative, and proactive
- Ability to contribute to or lead a team
Salary Range: $45,600 – $51,000 annually
Employment Type: Full-time Salaried, Exempt - ON-SITE
Days/Hours: Monday – Friday, 40 hours/week
