Job Description


Come grow with the #3 Multi-Family builder in the Southwest, according to ENR. Due to growth in Phoenix, we have an opportunity for a Project Administrator to serve on a construction project team and assist with contract administration, schedule and cost management, and project communication on multi-family, industrial, and/or commercial projects.



  • Manage Subcontractor compliance 
  • Manage lien waivers on Textura for all projects/waiver holds for missing items and verify with MCC M706 document
  • Assist with insurance tracking on projects
  • Setup Textura including importing budget and assigning team members
  • Handle bonds/liens – email bonds to MCC safety department when required
  • Obtain MCC insurance for all projects
  • File MCC pre-lien for all projects 
  • Track builders risk expiration and submit to MCC safety department 
  • Process credit applications
  • Review and track change order requests and prepare documents for Project Manager’s approval 
  • Assist with gathering information for payment application. Prepare the application for payment, contact subcontractors regarding invoices, and verify billing vs. actual work complete and materials stored.
  • Develop an understanding of cost code and reporting systems. Code all material invoices for approval by Project Manager.
  • Participate in the creation of any necessary project communication or correspondence with appropriate entities.
  • Assist in tracking subcontractor’s prequalification status 
  • Manage contacts and distribution lists 
  • Create and track subcontracts 
  • Create and track change orders 
  • Submit and track insurance for subcontractors, following up until compliant 
  • Track compliance items for subcontractors 
  • Provide weekly updates to the project teams on outstanding contracts, change orders and insurance
  • Assist in closeout document collection
  • Process invoices for approval 
  • Prepare UPS packages and mailings as needed for office


  • Qualifications:
  • Associate’s degree or equivalent combination of education and experience
  • 2 years’ related construction administration experience preferred
  • Strong attention to detail and the ability to produce work that is accurate, complete, and error-free.
  • Ability to communicate effectively and work productively with others.
  • Ability to prioritize and manage multiple priorities and deadlines.
  • Other success factors include reliability, positive attitude, professionalism, and an eagerness to learn.
  • Ability to use construction management software such as Procore, Timberline, Bluebeam, CMiC, PlanGrid, Textura, and Field ID.
  • Ability to use the internet and Microsoft Office 365.
