Job Responsibilities
The Construction Administrative Assistant will perform a wide range of administrative and office support activities for the construction department managers and supervisors to facilitate the efficient operation of the organization.

Job Responsibilities
- Work collaboratively with their team, the director and service manager to maximize productivity.
- Review field generated paperwork and prepare invoicing per company procedure in a timely manner.
- Schedule and create work orders for preventative maintenance, service repairs & replacements.
- Maintain schedule for the service department by dispatching the appropriate service tech based on skills required, nature of the call, location, and urgency.
- Keep customers informed of all changes to committed schedules.
- Purchases and expedites materials, filters, equipment, and parts in a timely/cost-effective manner.
- Audit service payroll time, sync to QuickBooks, and provide necessary paperwork for payroll processes.
- Keeps supervisor informed of any problems associated with customers or technicians.
- Assist management in keeping technicians on task and ensure that their paperwork is returned properly.
- Monthly reports.
- Answer Phones, greet incoming visitors.
- Collections.
- At least 5 years of hands-on commercial HVAC service coordination including billing and dispatching.
- In depth knowledge in Microsoft: Excel, Word, and Outlook.
- MUST be able to meet deadlines and work under pressure.
- Excellent organizational and communications skills.
- Must be able to type 45 WPM.
- Knowledge of QuickBooks is desired.
- Ideal candidate would have moderate to high technical knowledge in working with various computer systems/software, & mobile devices (Android Phones, & Apple iPads). On the job training will be available.
- Continual learning and development in the body of knowledge through FirstCall Academy, to ensure we set the bar for skill level in the industry
