Overview
We are a small but rapid growing Cosmetics/Skincare Contract Manufacturing company located in St. Petersburg. We are seeking a highly organized and versatile professional to join our team as a Customer Service/Office Manager. This individual will play a critical role in ensuring exceptional customer experiences, managing day-to-day office operations, and overseeing HR functions for a small team of employees. The ideal candidate will have a passion for customer service, strong leadership abilities, and excellent administrative and organizational skills.
Key Responsibilities
Customer Service:
- Serve as the primary customer representative for our tanning business line, providing friendly and efficient assistance to customers with inquiries, issues, and product/service needs.
- Respond promptly to customer emails, calls, and live chats, ensuring high satisfaction and professionalism.
- Resolve customer complaints and escalate complex issues to the appropriate departments as necessary.
- Maintain accurate customer records and document interactions in the company’s ERP system.
Office Management:
- Oversee daily office administrative operations, including scheduling, correspondence, and supplies management and shipments.
- Organize and maintain company records, filing systems, and general office infrastructure.
- Coordinate and schedule meetings, events, and other team activities.
- Ensure office compliance with company policies and procedures.
Human Resources:
- Act as the HR representative for a small team of employees, managing recruitment, onboarding, and employee relations.
- Maintain and implement HR policies and procedures in compliance with local labor laws.
- Manage employee records, attendance, and payroll coordination.
- Address and resolve employee concerns, fostering a positive and productive work environment.
- Coordinate employee training programs and performance evaluations.
Qualifications
- Proven 3 years of experience in customer service, office management, and/or human resources
- Strong communication and interpersonal skills, with a customer-first mindset
- Proficiency in Microsoft Office Suite and familiarity with ERP and HR software.
- Exceptional organizational skills and attention to detail.
- Ability to multitask and prioritize effectively in a dynamic work environment.
- Knowledge of local labor laws and HR best practices is a plus.
- Conflict resolution and problem-solving skills.
- Ability to work independently and as part of a team.

Pay: $42,000.00 - $45,000.00 per year
