Overview
We are seeking a detail-oriented and dynamic Event Coordinator to join our team at Michiana Humane Society. The ideal candidate will be responsible for planning, organizing, and executing our signature fundraising event, Cocktails at Whispering Pines, ensuring that every aspect runs smoothly from start to finish. The "Cocktails at..." event has been a mainstay of the Michiana Humane Society fundraising year for 14 years, generating a sizeable part of our annual income.
In 2025, Cocktails at Whispering Pines will take place on Saturday, July 26 at a private estate in Union Pier, Michigan.
This role requires strong communication skills, exceptional time management abilities, and a passion for hospitality. The Event Coordinator will work closely with the Event Committee to understand their needs and preferences, while also managing budgets and contracts to deliver a memorable experience.
Responsibilities include, but are not limited to
- Collaborate with committee to determine event objectives, themes, and requirements.
- Develop detailed event plans, including timelines, budgets, and logistics.
- Cultivate existing sponsor relationships, and initiate new sponsorships, with assistance of committee and staff.
- Coordinate all aspects of events such as catering, bar, entertainment, and live and silent auctions.
- Manage contracts with vendors and suppliers to ensure compliance with agreements.
- Communicate effectively with all stakeholders throughout the planning process.
- Oversee on-site event execution to ensure everything runs according to plan.
- Handle any issues or emergencies that arise during event promptly and professionally.
- Conduct post-event evaluation to gather feedback and improve future events.
Requirements
- Proven experience in event management or a related field.
- Strong organizational skills with the ability to work with a Committee.
- Excellent communication skills for effective interaction with clients and vendors.
- Proficiency in budgeting and financial management related to event planning.
- Familiarity with event sponsorships and live/silent auctions is a plus.
- Ability to work flexible hours, including evenings and weekends as needed.
- Strong time management skills to meet deadlines in a fast-paced environment.
- A proactive approach to problem-solving and decision-making.
- Knowledge of marketing strategies related to event promotion is advantageous.
- Position runs February 15, 2025 through August 15, 2025.
