Job Summary: The Deficiency Coordinator for Fire and Life Safety is responsible for managing and tracking all deficiencies identified during inspections, maintenance, and testing of fire alarm systems, extinguishers and hoods. This role ensures that any identified issues are properly documented, communicated, and resolved promptly to ensure compliance with safety codes and regulations. The Deficiency Coordinator plays a critical role in ensuring the safety and operational readiness of fire and life safety systems across assigned facilities.
Key Responsibilities:

Deficiency Management and Tracking:
- Document and track all deficiencies identified during inspections, testing, and maintenance of fire protection and life safety systems.
- Maintain an organized and accurate log of all deficiencies, ensuring timely follow-up and resolution.
Communication and Coordination:
- Collaborate with coordinators and operations to understand and clarify deficiencies and necessary corrective actions.
- Serve as the primary point of contact for clients regarding deficiency statuses, next steps, and timelines.
Reporting and Documentation:
- Generate detailed deficiency reports for clients, providing clear information on issues, potential risks, and required corrections.
- Ensure that all records meet regulatory, company, and client standards, maintaining detailed files on all resolved and unresolved deficiencies.
Compliance and Standards:
- Ensure that all corrective actions align with local, state, and national fire and life safety codes (e.g., NFPA, OSHA).
- Stay updated on relevant regulations, best practices, and changes in fire safety standards
Scheduling and Follow-Up:
- Coordinate with repair teams or vendors to schedule deficiency resolution and follow up on open items.
- Track completion of deficiencies and verify that corrective actions have been properly implemented and documented.
Customer Service and Support:
- Provide clients with clear communication on deficiency statuses and support in navigating compliance requirements.
- Address any client questions or concerns related to deficiencies in a timely and professional manner.
Qualifications:
- Education: High school diploma or GED required; Associate’s or Bachelor’s degree in Fire Science, Safety, or related field preferred.
- Experience: Minimum of 2 years in fire and life safety systems, compliance, or a similar role. Experience with fire protection systems (sprinklers, alarms, extinguishers) and knowledge of regulatory standards is highly preferred.
- Skills: Strong organizational, communication, and problem-solving skills; ability to manage multiple projects simultaneously; proficiency in office software (e.g., Excel, Word) and deficiency tracking systems.
- Certifications: NICET certification in Fire Alarm Systems, NFPA certification, or equivalent is a plus.
