What are the responsibilities and job description for the Leasing Agent position at Miller Frishman Group?
Reports to: Community Director
Summary: Assist in the overall care, upkeep and success of the community.
Responsibilities include, but are not limited to:
- Represent the company/community by maintaining a professional appearance and attitude at all times.
- Complete opening and closing procedures.
- Present the community’s apartment homes and amenities in a positive light to all prospective residents.
- Stand to greet all potential prospects/prospective residents as they walk through the office doors.
- Answer the telephone with a smile in a positive friendly manner, on/by the first or second ring.
- Use the community guest card to gather qualifying information, schedule appointments over the phone and in person for all prospects/prospective residents.
- Negotiate leasing terms and conditions to close the deal.
- Check voice mail, faxes and emails throughout the day and respond accordingly.
- Utilize your email to follow up with all prospects/prospective residents' emails in a personalized, friendly manner.
- Immediately follow up 2-3 times with each prospect/prospective resident
- Use provided leasing binder to keep prospect traffic organized by month.
- Use the office filing system to keep organized and ensure information is maintained accurately.
- Ensure the model, target apartment homes and touring paths are ready to show for the day.
- Be fully informed of current rental rates and specials for all available apartment homes.
- Ensure your work area, the office and amenities are maintained clean and orderly.
- Have awareness of the community’s curb appeal throughout the property and report any noticed repairs needed to the Assistant Community Director
- Develop full knowledge of the application process and what is required for screening and approval for applicants.
- Run credit checks, background checks, landlord & employment verifications for applicants.
- Submit processed applications to Community Director for approval. Follow up with applicants regarding status.
- Have a thorough knowledge of the lease terms, specifications and all community policies.
- Ensure apartment homes are ready for residents to move into on agreed move-in date by following the community move-in and make ready process.
- Advertise available apartment homes on Craigslist, resident activities and other marketing events on social media.
- Gain knowledge of the current market conditions that affect the surrounding areas.
- Visit area businesses to request marketing information for community move-in folders.
- Shop comps (competitive properties) as requested in order to be knowledgeable about other apartment communities in your market area.
- Complete a weekly trend report and monthly market survey.
- Conduct out-reach marketing within the surrounding areas as requested.
- Maintain resident retention and renewal program. Distribute renewal notices, follow up on renewal notices and promote resident retention every day.
- Utilize the community’s key log system to check out individual unit keys to vendors and residents as needed.
- Input resident service requests for maintenance repairs, close out requests when turned in and follow up on requests weekly to ensure resident satisfaction.
- Help deliver notices to the community as requested.
- Complete all required Grace Hill training in a timely manner.
- Effectively handle day-to-day resident requests and or complaints
- Complete special projects and other duties as assigned by Community Director or Assistant Community Director
- Day-to-day responsibilities can/will vary.
- Eligible for monthly commissions
