The Senior Executive Assistant provides high-level support for the CEO, including document preparation, operational support, heavy calendar management, response to all correspondence, and successful coordination of business meetings. Serves as liaison between the CEO and other departments within the organization to support the daily operational needs of MNC. The Senior Executive Assistant will possess Project Management skills, and great communication and writing skills.
Executive Support
- Completes a broad variety of high-level administrative tasks for the CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence including confidential information; arranging complex and detailed travel plans, itineraries, and agendas, compiling documents for travel-related meetings and special projects, as needed.
- Plans, coordinates and ensures the CEO schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO time.
- Communicates directly, and on behalf of the CEO, with board members, senior management team, staff, partners and others, on matters related to CEO programmatic initiatives.
- Respond to emails and phone calls and communicate messages in a timely way to the CEO.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the agency.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Performs routine bookkeeping tasks such as reviewing, coding and processing invoices; preparing and processing various accounting documents such as CEO’s expense report or retreat expenses.
Board Governance
- Serves as the CEO’s administrative liaison to the board of directors.
- Provides board meeting and committee meeting support including assisting with the production of materials, attending board meetings, writing minutes, tracking board and committee meeting attendance, and tracking board meeting actions and delegations. Maintained board and committee meeting files.
- Assists in maintaining the agency’s records and governance activities. This includes ensuring all minutes of the Board of Directors and committee meetings are signed by the board secretary, tracking and filing all actions taken by Unanimous Written Consent, and updating the Policies and Procedures manual as policies are adopted or amended.
- Assists in the development of materials for new board member orientations and/or administrative duties associated with board member resignations. Maintained board member files.
- Assists board members with travel arrangements, lodging, and meal planning for board retreats.
- Maintains discretion and confidentiality in relationships with all board members.
- Work with the Philanthropy team to prepare briefings on prospective donors prior to the key meetings.
Senior Management Team Liaison
- Participates as an adjunct member of the senior management team including assisting in scheduling meetings and attending all meetings.
- Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
- Facilitates cross-divisional coordination of travel and outreach plans.
Communications, Partnerships, and Outreach
- Ensures that the Chief Executive Officer’s bio is kept updated and responds to requests for materials regarding the CEO and the organization in general.
- Manages the weekly and bi-weekly newsletter by collecting information and stories, following up with program leads, editing and reviewing in conjunction with CEO.
- Supports with social media management, posting newsletter content and important announcements on social media sites such as Linked In, Facebook, Instagram, etc.
- Work closely with the communication coordinator and the COO to support internal communication
Event coordination Support
- Provide support in the coordination and planning of signature events at MNC. Create an effective process to curate and maintain a list of venues, cultural performers, catering services, and other event-related services.
- Coordinate the logistics of meetings led or attended by the CEO, including welcoming guests, ordering food, coordinating event set-up, communicating with staff, supporting attendee and speaker requests, and working with Operations Manager to execute post-event logistics.

- Stress Management - Ability to remain tactful under pressure and present a professional demeanor and communication style with co-workers in a multicultural setting.
- Project management – Ability to works directly with clients and various departments within the organization to ensure that project deliverables are completed within the budget and defined scope.
- Coordination - Ability and competencies focused on planning and executing multiple activities, actions and plans simultaneously.
Qualifications:
- Bachelor‘s Degree in Administration or equivalent combination , Business Management, Marketing, Social Services, or other related field.
- A minimum of 5 years of experience providing administrative support, with at least 2 years’ experience in a comparable role as an assistant to a senior executive or as a board liaison, preferably in a non-profit organization.
- Outstanding interpersonal and communication skills, characterized by the ability to listen, to speak, and to write well, with a strong commitment to customer service and the ability to inspire and engage.
- Bilingual English-Spanish able to translate, read and write in Spanish.
- Must be detail-oriented, highly organized and demonstrate proficiency in creating thoughtful donor correspondence, conducting research and managing database requirements.
- Must be proficient with Microsoft Word, PowerPoint, Excel Spreadsheets and Outlook Calendar.
- A self-directed, entrepreneurial spirit.
- Team player able to work collaboratively with development colleagues as well as interface effectively with other departments.
- Strong written and verbal communication skills. Must be a well-organized professional who thrives in a team-oriented environment.
- Experience in event planning and set up events.
Requirements
- Fingerprinting Clearance (DOJ/FBI) and Clearance Child Abuse Index.
- Current CA Driver License; current auto insurance and a clean driving record.
- Covid-19 Vaccine Record, Influenza
- English, Spanish fluency, preferred.
