About The Role
We are looking for our first Office Manager to join Modular in our new Los Altos office. This is a contract position, working 30-35 hours per week in our office, with the opportunity to evolve into a full-time office management or administrative assistant role. You will be responsible for ensuring the smooth operation of our new office space, supporting daily administrative functions and working closely with other operations team members to foster a positive workplace environment.

About The Role

LOCATION: This role is based out of Los Altos, CA.
What You Will Do
- Serve as the primary point of contact for all visitors, vendors, and employees working in the office.
- Coordinate with relevant vendors to manage office resources, including ordering and stocking supplies and snacks, and maintaining office equipment.
- Assist with planning and logistics for in-person meetings, new hire onboarding, events, and celebrations, ensuring alignment with Modular’s culture and a smooth experience for new and existing employees alike.
- Manage all office communications, including mail and deliveries.
- Manage office access systems (badging) and liaise with building management on facility needs as required.
- Coordinate with IT or other departments for equipment setup, conference room scheduling, and catering for new employees or guests working on-site.
- Ensure compliance with occupational health and safety regulations, maintaining a safe and functional work environment for all employees.
- Occasionally serve as a back-up for EAs to help with executive needs.
- 2 years of office management or office administration experience.
- Experience working in a fast-paced environment with a focus on operations, project management, and administrative services.
- Very strong independent organizational skills with the ability to work on multiple tasks simultaneously, utilize good judgement, take initiative, and follow through.
- Proficiency with Google Suite, Zoom, Slack.
- Strong interpersonal and communication skills.
- Strong sense of resourcefulness and responsibility, and a detail-oriented customer service mentality.
- Ability to work on-site up to 5 days a week, between the hours of 8:30am and 6pm, based on weekly business needs (typically 30-35 hours per week).

Salary : $48 - $58
