Administrative Assistant

for the Director of Youth Engagement and Prevention

Status: Full-Time

Annual Salary: $53,000.00 - $55,000.00, commensurate with education and experience

Schedule: Monday – Friday, 10 am – 7 pm

Work Location: 3450 Dekalb Avenue, Bronx, NY 10467

The Mosholu Montefiore Community Center (MMCC) is a vital community resource that changes the course of lives of Bronx and Manhattan residents to a degree not otherwise possible. Each year, we serve more than 35,000 preschoolers, school age children, teens, adults and senior citizens through our support, enrichment, education, and recreation programs, expanding their opportunities to live full, productive lives.

Position Overview:

The Administrative Assistant will provide comprehensive administrative support to the Director of Youth Engagement and Prevention and team. This role is essential in ensuring efficient daily operations, effective communication, and seamless coordination of programs and initiatives related to youth engagement and prevention activities.

Key Responsibilities:

  • Calendar & Schedule Management
  • Coordinate and maintain the Director’s calendar, including scheduling appointments, meetings, and events.
  • Organize and confirm travel arrangements, meetings, and related logistics.

· Communication & Correspondence:

  • Serve as the first point of contact for internal and external inquiries.
  • Draft, proofread, and distribute emails, memos, reports, and other communications on behalf of the Director.
  • Facilitate communication between the Director and various departments, stakeholders, and community partners.
  • Document & Data Management:
  • Prepare, organize, and maintain files, records, and reports.
  • Assist in the creation of presentation materials and project documentation.
  • Support data entry and tracking of program metrics.

· Event & Meeting Coordination:

  • Organize and schedule team meetings, community events, and youth engagement activities.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Assist with event planning and execution, ensuring logistical details are managed effectively.

· Administrative Support:

  • Handle office tasks such as filing, photocopying, scanning, and managing office supplies.
  • Support the Director with ad hoc projects and tasks as needed.
  • Collaborate with other team members to ensure smooth operations across the department.

Qualifications:

  • Bachelor’s degree preferred.
  • Previous administrative or office support experience, preferably in a nonprofit, youth services, or similar setting.
  • Skills and Competencies:
  • Strong organizational and time management skills with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling and database management.
  • Ability to maintain confidentiality and handle sensitive information.
  • Detail-oriented and proactive in identifying and solving administrative challenges.
