General Statement of DutiesManages all aspects of the operations of the Nashville Farmers Market.Distinguishing Features of the ClassEmployee performs a variety of tasks related to the operation of the Nashville Farmers Market. Work includes recruiting and maintaining vendors, manage EBT transactions, set up/ take down of weekly market, advertising, and customer service. This position reports to the Assistant Parks, Recreation, and Cultural Resources Director. The position will be provided with access to a market-owner laptop computer, wireless internet access, and cell phone to support these activities.Employment PeriodFrom April through November (active market season), the position will provide on-site management of the Farmers Market as follows: Fridays from 3:00 pm to 7:00 pm April through OctoberPop-up markets (schedule TBD) including a Thanksgiving market and Christmas market.From November through March (the off-season) the assigned work period will be based on a work plan agreed upon with supervisor. During off-season, 10 hours per week (average) will be required for market related communications, record-keeping and reporting, advertising,event planning and private rental management. During peak market season (April –November) the assigned work period will be 20 hours per week. Attendance to bi-annual advisory meetings is compensated within this allowance.The total number of work hours per year is 1000 hours; small changes may be made to any of the above to keep the work hours within budgetary guidelines. This scope of work and compensation can be updated as the market develops and grants are secured. Supervisory ControlsThis position is overseen by the Assistant Parks, Recreation and Cultural Resources Director, who will assign work and who will conduct spot checks for compliance with instructions and established procedures, accuracy, and the nature and propriety of the final results.

AdministrationMaintain accurate records and documentationProducer/vendor membership statusVendor attendance and paymentsCopies of vendor certifications, licenses, and other required documentationCommunicate with all vendors about their intent to participate and the products they will make available each week. (This information will be used for the weekly communication to the public through electronic newsletters, website, social media and newspaper.)Conduct periodic farm inspections to ensure products sold at the market meet the established requirements of the market.Prepare deposits of funds collected at the market and provide detailed accounting to administration.Arrange bi-annual advisory meetings to report on market operations (customer and vendor counts, fees collected, sales volume, complaints, suggestions, accolades, market needs, event updates and other relevant observations). Participate in Advisory Board discussions regarding market management, promotions and expansion, acting as an active communicator between consumers, vendors, and community partners with the Advisory Board.Plan market events including educational, entertainment and activities.Coordinate arrangements and collect funds for private party rental of Nashville Farmers Market facility.Market OperationsArrive a minimum of one hour prior to opening. Prepare market site and provide set-up guidance and assistance to market vendors, volunteers, recreation aides, and entertainment vendors.Collect vendor fees at the opening of the market day, issue receipts and maintain appropriate records.Manage all EBT/debit/token transaction as well as overseeing the SNAP Program (WIC and Senior Program)Set up market information table with appropriate marketing supplies.Estimate customer foot traffic either personally or through volunteers.Resolve any vendor conflicts as quickly and discreetly as possible.Enforce market rules and food safety standards by ensuring vendor compliance and removing vendors unwilling to comply.Remain at market until vendors have completed sales and ensure the scheduled maintenance and cleanliness of the market location.Vendor Relations and SupportServe as primary contact for potential new vendors seeking to submit applications and provide guidance for compliance with market policies and procedures.Identify key needs of vendors that can be addressed through training, policies, partnerships and other support services and communicate this information to the PRCR Director.PromotionOversees ongoing marketing and promotional efforts to benefit Farmers Market and the local foods system.Represent the Farmers Market at relevant community planning meetings, activities, and events.Maintain social media marketing by posting regularly to the Farmers Market Facebook page (may include live updates from the market location).Develop copy and list of event information for the website and weekly electronic newsletters sent to Farmers Market vendors and customers.Develop and distribute regular written communications to Farmers Market vendors.Develop and maintain a working relationship with local media outlets and facilitate placement of timely information about market vendors, products, events, and new developments.
