Key Responsibilities
- Oversee credit card reconciliations for C-Suite executives, including establishing and managing Expensify accounts, reconciling transactions, and generating monthly reports.
- Accurately process vendor invoices and staff reimbursement requests to ensure timely payments and proper record-keeping.
- Coordinate travel arrangements for staff, including transportation and accommodation logistics, while providing comprehensive support during travels.
- Conduct data entry tasks with precision, ensuring accuracy and confidentiality in all documentation.
- Monitor expenditures to maintain compliance with organizational policies and budgetary constraints.
- Address discrepancies in credit card statements swiftly and collaborate with executives to resolve any issues.
- Prepare periodic reports on vendor invoices and reimbursement statuses, conducting reviews and audits as necessary.
- Assist in obtaining necessary travel documents such as visas and passports, negotiating rates with travel service providers.
- Collaborate with team members to enhance data entry processes and validate source documents.
- Exceptional attention to detail and strong organizational capabilities.
- Proficient in office software, particularly the Microsoft Office Suite.
- Excellent verbal and written communication skills.
- Ability to juggle multiple tasks while effectively prioritizing responsibilities.
- Demonstrated capacity to work autonomously as well as part of a collaborative team.
- High School diploma or equivalent preferred.
- At least 2 years of experience in an administrative or support role in a corporate setting is preferred.
