Description
The Construction Administrator provides administrative support to the Project Management department. Tasks vary from reviewing documents for accuracy to accounts receivable collections. Also, includes assigning projects, updating licenses and permits, and creating submittals for project teams.
Responsibilities
- Track change orders and review for accuracy.
- Ensure project contract values and costs are accurate across all systems.
- Follow up with clients on outstanding invoices to collect payments.
- Organize and maintain project-related documents.
- Create and manage filing systems for easy access.
- Prepare and distribute project-related correspondence.
- Add new projects and assign teams in project management systems.
- Assist in maintaining subcontractor compliance documents.
- Prepare departmental reports, including financial information.
- Provide general administrative assistance to project teams.
Requirements
- Associates Degree or 1 year administrative experience.
- Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities efficiently.
- Excellent written and verbal communication skills for effective interaction with team members, contractors, and clients.
- Keen attention to detail to maintain accurate records, documents, and reports.
- Proficiency in project management software, Microsoft Office Suite (Word, Excel, PowerPoint), and document management systems.
- Ability to identify issues, troubleshoot, and find solutions promptly.
- Capacity to work effectively in a team-oriented environment, collaborating with diverse professionals.
- Ability to adapt to changing project requirements and handle unexpected challenges with composure.
- Strong time management skills to prioritize tasks and meet deadlines consistently.
