As an Administrative Assistant, you will work in the executive suite located in Burlington County, NJ
The ideal candidate must have the ability to communicate effectively with co-workers and all levels of program staff; maintain the highest level of confidentiality; must work independently; be highly organized and be able to multi-task; must follow all company and state policies and procedures. The candidate must have the ability to be flexible and shift focus as needed to accommodate urgent needs that may take priority.
Schedule: Full-time; Monday-Friday; 40 hours; In-office; Flexibility to work outside of normal business hours on an emergency or as needed basis
Responsibilities:
- Schedule and organize complex activities, such as: meetings, travel, and company events;
- Microsoft Office proficient;
- Create and develop visual presentations for the executive office;
- Organize and prioritize large volumes of information and summarize for the executive office;
- Open, sort, and distribute mail and determine level of priority;
- Have the ability to review financial documents including budgets;
- Manage multiple projects — ensuring deadlines are met;
- Answer phone calls for the executive office, take messages and field/answer all routine and non-routine questions;
- Appropriately handle confidential and non-routine information;
- Interface with management staff of all levels regarding operation of programs;
- Tracking statistical information;
- Scheduling meetings & maintaining schedule for the executive office;
- Running reports & follow up as needed;
- Coordinating deadlines with management;
- Drafting/constructing letters and memos as needed;
- Process purchases for programs with adherence to company guidelines;
- Train administrative staff;
- Facilitate VP Administrative Assistant meetings;
- Event planning;
- Facility checks;
- Manage agency prescriber needs/scheduling;
- Other duties as required.

Qualifications:

High School Diploma or equivalent required;

Associate’s or Bachelor's degree a plus;

Five (5) years of general secretarial background;
- Event planning experience a plus;

Mental Health experience a plus;

Project management experience a plus;

Financial Acuity a plus.
- Valid Driver's License in good standing required.
