Appointment Coordinator
Act as the first point of contact for home buyers, to schedule walkthrough appointments, manage scheduling emails and SMS and provide courteous and efficient assistance.
Prioritize and manage multiple appointment requests and schedules to optimize efficiency and meet deadlines.
Follow up with clients and team members to ensure timely attendance and appointment completion.
Collaborate with support teams to streamline processes and enhance overall efficiency.
Prepare and distribute appointment schedules and materials to relevant parties.
Monitor and track appointment metrics and performance indicators, providing regular reports and analysis.
Update and distribute daily schedules.
Keep records of all appointments and follow up as necessary.
Required skills and qualifications
High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
Experience in an outsourced American Call Center is a plus.
Proven experience as an Appointment Coordinator, Scheduler, or similar role.
Strong time management and organizational skills, with the ability to prioritize tasks and manage competing demands.
Excellent interpersonal and communication skills with a customer-focused approach.
Working knowledge of office software (e.g., Microsoft Office Suite and Sales/CRM application)
Detail-oriented with a commitment to accuracy and professionalism.
Multitasking abilities with adaptability to work independently or collaboratively in a team.
Preferred skills and qualifications
Experience with scheduling software or appointment management systems.
Knowledge of industry-specific scheduling practices and protocols.
Ability to adapt quickly to changes and handle confidential information with discretion.
Experience in a fast-paced, high-volume environment.
