We have an exciting opportunity as the Senior Stock Program Administrator. This role will oversee our company's Employee Stock Purchase Program (ESPP) with additional exposure to other equity programs such as stock options and RSUs. You'll ensure compliance with regulatory requirements while collaborating closely with our dynamic HR, Legal, Payroll, and Finance teams.
In this role, you'll handle reporting, audits, and employee inquiries, providing top-notch support and guidance. You'll also be responsible for maintaining accurate records and data management, continuously optimizing processes to ensure efficient plan administration.
WHAT THE ROLE OFFERS
- Administer and manage the company's global Employee Stock Purchase Plan (ESPP), ensuring accurate and timely processing of purchases and enrollments.
- Coordinate and prepare quarterly contribution files for the ESPP for US and International employees timely and with accuracy.
- Prepare communications and eligibility files for quarterly ESPP open enrollments.
- Maintain accurate records of all ESPP data, monitor data integrity, and ensure up-to-date recordkeeping in Shareworks.
- Document and follow all established controls for ESPP processes, reviewing and updating controls as needed.
- Assist with internal and external ESPP audits, providing necessary documentation, preparing reports, and ensuring compliance with SOX requirements where applicable.
- Ensure accurate report of ESPP transactions to Legal for SEDI filings for reporting insiders and yearly US tax reporting of Form 3922.
- Work closely with the Legal team to compile the quarterly blackout and preclearance insider listing and send notifications for the opened and closed window periods.
- Serve as the primary point of contact and manage the Stock Plan inbox, answering employee inquiries, explaining plan details, and delivering exceptional customer service for a positive employee experience
- Work closely with HR, finance, legal, and payroll teams to ensure proper execution of equity plan administration.
- Audit data, including grant uploads and RSU and PSU vesting, and manage RSU/PSU cancellations.
- Continuously review and enhance ESPP and Equity administration processes, identifying opportunities for efficiency, automation, and better employee experiences.
WHAT YOU NEED TO SUCCEED
- 8 years relevant experience with equity compensation such as ESPP, stock options, RSU/PSU
- In-depth understanding of SEC regulations, tax implications, and reporting requirements for global countries.
- Proficient in using equity administration management software, Shareworks preferred
- Skilled in managing multiple tasks, meeting deadlines, and ensuring smooth execution of equity plan events like ESPP enrollments and purchases, grant, vesting, and stock issuances.
- Knowledgeable in legal, tax and financial compliance requirements related to global equity compensation plans.
- Strong attention to details being able to manage complex data sets, ensure accuracy of records, and navigate the details of plan administration, compliance and audits.
- Analytical skills to analyze equity data using Excel functions, identify discrepancies, and implement solutions while documenting processes for efficiency
- Excellent communications skills in interacting with employees, stakeholders, and cross-functional teams to address inquiries, accurately explain equity programs, and collaborate on plan related matters.
- CEP not required but a plus!
Location: This role is open to a virtual work set up in the US.
