Position Description

Reporting to the Company Manager, the Seasonal Company Scheduler is responsible for generating and maintaining the daily schedule during the festival season. This role requires close collaboration with stage management, music staff, artistic personnel, and production teams to ensure smooth operations and efficient use of resources. The Company Scheduler will play a key role in facilitating clear communication across productions and teams while supporting the artistic and production goals of the festival. Key Responsibilities:

Scheduling

  • Develop and maintain the festival season?s daily schedule, including rehearsals, coachings, and performances.

  • Coordinate and balance the needs of music staff, artists, directors, and production personnel to create an efficient and accurate schedule.

  • Ensure updates to the schedule are communicated promptly and distributed to all relevant parties.

  • Work with the Artistic and Production teams to anticipate and resolve potential scheduling conflicts or resource constraints.

Communication and Collaboration

  • Serve as the primary point of contact for scheduling-related topics.

  • Attend regular scheduling and production meetings to stay informed about programmatic and logistical needs during the festival season.

  • Liaise with the Artistic department to accommodate additional activities such as donor events, education programs, or media engagements.

Administrative Support

  • Maintain detailed records of all schedule changes and ensure documentation is up to date.

  • Support the Company Manager in coordinating logistics for visiting artists and seasonal staff as needed.

  • Assist with artist, staff, and crew needs related to daily operations as they pertain to the schedule.


Qualifications & Experience:

  • Proven experience in scheduling or operations management, preferably in a performing arts or festival environment.

  • Exceptional organizational and time-management skills.

  • Strong interpersonal and communication skills, with the ability to work collaboratively in a fast-paced, dynamic environment.

  • Knowledge of performing arts operations, particularly opera or classical music, is highly desirable.

  • Proficiency in scheduling software and Microsoft Office Suite.

  • Stage management experience, including familiarity with rehearsal protocols, cueing, and backstage operations.

  • Ability to anticipate and address artistic and production needs with a stage manager?s attention to detail and foresight.

  • Position is full-time for the duration of the festival season. Ability to work evening and weekend hours is required based on the rehearsal and performance schedule.

  • Must be available to work on-site for the duration of the festival season.

  • Ability to perform required physical movements including: bend, twist, stoop, and lift up to 35 lbs.

Compensation

  • This is a seasonal, full-time position.

  • Compensation: $1,200.00 / week

  • Dates of Engagement: Monday, April 22, 2025 ? Sunday, June 29, 2025

As of 2024, OTSL has presented 41 world premieres, which may be the highest percentage of new work in the repertory of any American company. In addition to the spring Festival Season, OTSL operates year-round education and community programs serving nearly 17,000 local children and adults.

Opera Theatre of Saint Louis has a year-round artistic and administrative staff of approximately 45, which grows to more than 500 during the Festival Season. Several hundred volunteer members of the Opera Theatre Guild provide support for all aspects of Opera Theatre?s work and advocate for the company throughout the greater St. Louis community. The company?s annual budget size is approximately $12 million; contributed revenue represents more than 50% of the budget.
