Job Purpose:

The Manager, ASC Registration and Surgery Scheduling is responsible for the leadership of the Registration and Surgery Scheduling team and daily operations and workflow including performance reviews, coaching and development of staff, and implementing strategic plans for the team. Responsible for department design, quality of work, HR related activities including hiring, and training and coaching employees.

Primary Duties and Responsibilities:

  • Manages the day-to-day operations with registration and surgery schedulers including surgical cases within a hospital and ASC including oversight for preoperative testing, materials, anesthesia, and any other surgical needs.
  • Recruits and oversees training plans to facilitate a positive new hire onboarding and retain talent
  • Provides guidance, support, and professional development opportunities for staff.
  • Oversees performance review process, provides coaching and accountability as needed
  • Develops team by providing training opportunities and performance feedback, aligning team goals with organization initiatives
  • Plans and initiates process improvement initiatives; identifies and implements process development in coordination with other departments.
  • Monitors KPIs and works with the team on process improvement. Aligns work of departments with overall strategic goals of the organization utilizing teams' strength to effectively and efficiently deliver on key metrics contributing to organizational success
  • Develops scheduling protocols to serve the needs of the departments.
  • Oversees staff assignments and ensures adequate daily staffing.
  • Supports in adherence to policies and procedures in compliance with AAAHC and IDPH standards as applicable
  • Works with the prior auth team on completing and standardizing efficiencies
  • Oversees the surgeon block schedule to maximize the ORs.
  • Builds strong communication and maintains effective working relationships with administration, employees, vendors, and surgeons facilitating collaboration that supports increased effectiveness and patient satisfaction
  • Collaborates with office staff, physicians, and anesthesiologists as needed with questions or requests.
  • Assist with the planning and direction of department goals
  • Act as a resource in the daily operations of the registration and surgery scheduling functions, including working vacancies due to PTO.
  • Sign off on all timecards and create weekly schedule for staff members.
  • Provide support and back up for other Registration and Scheduling Managers when they are out on PTO.
  • Attend organization and department meetings.
  • Performs other duties and responsibilities as assigned.

Education and Experience Requirements:

  • High School diploma or equivalent.
  • A minimum of two years of experience in a similar position and/or performing similar tasks preferred
  • A minimum of one year of experience managing people preferred
  • Basic working knowledge of Microsoft and Google suites
  • Expert working knowledge of EMR; basic working knowledge of scheduling platforms
  • Expert working knowledge of HST, Health Nautica, and ENVI

 

Environmental/Working Conditions:

Working environment is in an office/ambulatory surgery center. Requires consistent work outside of normal business hours, including evenings and occasional weekends.

 

Physical/Mental Demands:

  • Sit, stand, walk, stoop or kneel, crouch or crawl, and climb stairs for extended periods of time.
  • Requires lifting, carrying and/or moving objects in a manner consistent with most office environments (generally, no more than 10 pounds on a frequent basis and 20 pounds on an occasional basis).
  • Finger dexterity; the ability to twist hands/wrists repetitively.
  • Vision (e.g., depth perception, color vision, strong vision up close), hearing (e.g., high pitch sounds, soft or distant sounds).
