Position Responsibilities:

• Welcomes patients and visitors by greeting them, in person or on the telephone, answering or referring inquiries.
• Utilizes electronic health record for tasks assigned and follow established workflows.
• Handles patient calls and effectively manages schedule.
• Evaluates daily schedules to accommodate patient flow and minimize missed appointments.
• Comforts patients by anticipating patient’s anxieties; answering patients’ questions; maintaining the reception area.
• Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; scheduling equipment service and repairs.
• Helps patients in distress by responding to emergencies.
• Protects patients’ rights by maintaining confidentiality of personal and financial information.
• Maintains operations by following policies and procedures; reporting needed changes.
• Contributes to team effort by accomplishing related results as needed.
• Take Direction and initiate actions (cross/additional training) that will allow the assumption of cross-functional duties to ensure seamless patient care.
• Assists with hiring and training new employees.
• Communicates updates to employees regarding company polices and procedures, mandatory training, revenue cycle updates, etc.
• Manages staffing to include requesting float coverage if needed and filling in if necessary. May be required to fill in for multiple roles depending on certifications and skills.
• Manages daily cash collections and reporting for site.
• Ensures that staff are trained properly greeting patients and handling patient concerns in a timely and respectful way and that they are knowledgeable in collecting accurate demographic and benefit information from patients to collect proper co-pays and deductibles.
• Consistently demonstrate ability to respond to changing situations in a flexible manner in order to meet current needs, such as reprioritizing work as necessary. Minimize non-productive time and fill slow periods with activities that will enable you to prepare to meet the future needs of the System (education, organizing, housekeeping, and assisting others). Organize job functions and work area to be able to effectively complete varied assignments within established time frames.
• Maintains a cooperative relationship among health care teams by communicating information; responding to requests; building rapport; participating in team problem-solving methods.
• Other duties as assigned.

Educational/ Experience Requirements:

High school diploma or general equivalency diploma (GED). Minimum of 3 years’ experience in a medical office setting.

Non-exempt employee responsible for the day-to-day operations of the office to include management and scheduling of staff, daily site collections and reporting and ordering of supplies for busy medical office. In addition to lead duties, employee may be responsible for other clinical or administrative duties.
