We are seeking a highly organized and proactive Office Manager to oversee the administrative operations of our Canyon Lake office. The ideal candidate will be responsible for managing office activities, ensuring smooth communication within the office, and supporting various departments to optimize workflow efficiency.
**Duties:**
- Manage office supplies inventory and place orders as necessary
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- Supervise administrative staff and divide responsibilities to ensure performance
- Assist in onboarding new employees by coordinating orientation sessions and training programs
- Handle scheduling, including appointments, meetings, and travel arrangements
- Maintain the office condition and arrange necessary repairs
- Manage vendor relationships and negotiate contracts for services
- Oversee the maintenance of office equipment and ensure proper functioning
- Support HR functions such as maintaining employee records, processing payroll, and administering benefits
- Assist in budget preparation and expense management
**Requirements:**
- Proven experience as an Office Manager or similar administrative role
- Proficiency in human resources practices and medical office management
- Excellent phone etiquette with strong communication skills
- Knowledge of QuickBooks for financial record keeping
- Familiarity with phone systems and vendor management
- Ability to multitask and prioritize tasks effectively
- Strong organizational skills with a keen eye for detail
- Experience in calendar management and scheduling
- Proficient in clerical duties such as filing, data entry, etc.
- Background in training development is a plus
