PEG Staffing & Recruiting is looking for a Front Office Coordinator to join our client's dynamic team in Clayton, MO ! This direct hire role is fully in-office.
As the Front Office Coordinator, you will be the face of our firm, managing our front desk and seamless operations within the office. Your role is essential in representing our values and ensuring visitors, vendors, and employees feel welcome and supported.
- Be the friendly and professional face at the front desk.
- Welcome visitors warmly and host them during their time at our firm.
- Manage conference room bookings, provide refreshments, and coordinate with colleagues to ensure smooth meetings.
- Master the communication system to present a polished voice for the company.
- Keep our office running smoothly by organizing and maintaining kitchen supplies, daily coffee setup, and keeping shared spaces tidy.
- Ensure the office is well-stocked, organized, and clean, including watering and caring for office plants.
- Plan and schedule appointments and events using multiple Outlook 365 calendars.
- Retrieve and distribute mail.
- Maintain and organize filing systems.
- Send a weekly updates to employees about office events, etc.
- Assist with scanning, filing, and mass mailings.
- Take a lead role in organizing events and creating employee photo collages.
- Provide additional administrative support as needed, working closely with the COO.
The ideal candidate will bring energy, professionalism, and a minimum of 3 years of receptionist, front-desk, or administrative coordination experience.
- Exceptional verbal and written communication skills with a polished, professional demeanor.
- Recent experience in office or front-desk administration.
- Demonstrated success in both independent and team-based roles.
- Strong multitasking and problem-solving abilities.
- A proactive attitude and passion for creating positive experiences for others.
- Punctual and dependable.
- Proficiency in Microsoft Office Suite (Word, basic Excel, PowerPoint, Outlook) and cloud applications like OneDrive and SharePoint.
- Experience with VoIP phone systems a plus or a willingness to learn.
