JOB TITLE: Accounting Technician - Business Services

TERM OF EMPLOYMENT: 12-Month
REPORTS TO: Director of Budget & Finance
SUMMARY: The job of Accounting Technician maintains payment systems to vendors and District personnel; and ensures overall fiscal policies, practices and/or regulations are followed. Assuring, under supervision, the accuracy and compliance of preliminary reports, time sheets, spreadsheets, etc.; assuring accurate program and funds distribution and providing federal, state and District personnel with requested information necessary for providing timely and accurate payment of District employees and vendors.
REQUIRED QUALIFICATIONS:
- High school diploma, GED or equivalent
- 1-2 years job-related experience with increasing levels of responsibility
- Targeted job-related education that meets organization’s prerequisite requirements
PREFERRED QUALIFICATIONS:
- 3 years’ experience job-related experience in a public-school setting

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Analyzes fiscal data (e.g. contracts, cash reports, budget reports, purchase orders, etc.) for the purpose of determining feasibility of service within cash and budget parameters, making recommendations and/or maximizing use of funds
- Maintains various accounting forms, data and information (e.g. accounts receivable, accounts payable, employee records) for the purpose of providing an up-to-date reference and audit trail for compliance.
- Prepares various reports and documentation for the purpose of providing written support and/or conveying information to internal departments, federal and state agencies (e.g. Internal Revenue System, Arizona Department of Revenue, Arizona Department of Education, etc.)
- Processes various accounting forms and data (e.g. Use Tax reporting, vendor invoices, vouchers, travel claim reimbursements, etc.) for the purpose of updating information and/or authorizing timely payment
- Distributes Employee and Vendor checks for the purpose of ensuring timely payments of District liabilities
- Reconciles Purchase Order account balances (e.g. grants, bond, general fund, etc.) for the purpose of maintaining accurate account balances and distribution of funds
- Processes various fiscal information (e.g. enrollment forms, attendance, allocations, travel reimbursement claims, etc.) for the purpose of updating information and/or authorizing final action in compliance with accounting requirements
- Researches discrepancies of financial information and/or documentation (e.g. bids, purchase orders, invoices, insurance claims, travel claims and expenses, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing
- Responds to inquiries of staff, the public, vendors, parents and/or students for the purpose of providing information and/or direction as may be required
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities
- Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee
SKILLS, KNOWLEDGE AND ABILITIES:
Skills are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: performing standard clerical procedures; utilizing standard office equipment; and utilizing pertinent software applications.
Knowledge is required to perform basic math, including calculations using fractions, percentages and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: accounting procedures; pertinent codes, policies, regulations and/or laws.
Ability is required to schedule a significant number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined, but different processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data or widely varied types and/or purposes; and utilize specific, job-related equipment. In working with others, independent problem solving is required to analyze issues and create action plans. Problem solving with data requires analysis based on organizational objectives; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; meeting deadlines and schedules; and maintaining detailed records.
RESPONSIBILITY:
Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; and directing the use of budgeted funds within a work unit. Utilization of significant resources from other work units is routinely required to perform the job’s functions. There is some opportunity to significantly impact the Organization’s services.
WORK ENVIRONMENT:
The usual and customary methods of performing the job’s functions require the following physical demands: significant lifting, carrying, pushing and/or pulling; some stooping, kneeling, crouching and/or crawling; and significant fine-finger dexterity. Generally the job requires 70% sitting, 15% walking and 15% standing. The job is performed under a generally hazard-free environment and in varying atmospheric conditions.
