Position Summary
Under the general direction of the Administration Manager, the Office Supervisor leads and manages a team of office support staff. This role is responsible for planning, coordinating, and reviewing the team's work, ensuring the smooth execution of daily administrative tasks and reporting. The Office Supervisor also oversees the creation and maintenance of technical and office files, including electronic document management systems, while supporting the organization’s compliance and operational goals.
Role and Responsibilities
Staff Coordination
- Provide leadership, guidance and training to office support employees
- Ensure team alignment with company policies, procedures, and expectations.
- Address and resolve staff concerns to maintain a cohesive and motivated team
- Ensure completion of daily tasks and review activity with the Administration Manager to make necessary adjustments
- Manage schedules for team members, including coordinating meetings and appointments.
- Assess top priorities and delegate inquiries to appropriate staff members.
- Regularly evaluates team performance with metrics for success and improvement
Reporting
- Prepare data, reports, memos, and other documents in a timely and accurate manner to support management decision-making
- Ensure all deadlines for data requests are met
- Review documents being sent out by office support staff for accuracy
- Ensure compliance with organizational standards and external regulations.
- Ensure that all office records and processes are audit-ready and meet legal or regulatory standards.
- Collaborate with the Compliance Specialist to maintain record-keeping and reporting accuracy
- Standardize training programs for new hires and ongoing staff development initiatives.
Communication:
- Serve as the main point of contact for office-related inquiries and issues.
- Facilitate communication between departments and external stakeholders
- Communicating organizational needs, providing guidance and support, and identifying development needs
Supportive Functions:
- Assist the Administration Manager in planning and implementing special projects.
- Ensure all office operations align with organizational goals and objectives.
- Ensure proper distribution and management of office equipment and resources.

Qualifications and Education Requirements
Education: Bachelor’s degree in business administration, management, or a related field preferred.
Experience: Minimum of 3 years of supervisory experience in office administration or a related role
Computer literate and proficient in EXCEL, WORD other MS software

Pay: $26.00 per hour
