Description
Duties: Under the supervision of the Supervisor of Accounting Services and the Purchasing Supervisor, the Business Intern is responsible for the following:
- Perform data entry as required to process purchase orders, reports, etc.
- Answer telephone and distribute purchase orders to staff.
- Prepare/process invoices for payment, including matching with open purchase orders or other existing documents.
- Communicate with staff to resolve missing receipts and invoices.
- Communicate with vendors to rectify billing issues.
- Assist with the distribution of accounts payable checks.
- Assist with the processing and reporting of support service data including entering support service cards, running reports, and maintaining master files for location, task item, equipment, and employee numbers, names, hourly wages, and burden rates.
- Maintain all records as required for compliance with policy and regulatory requirements.
- Assist with auditing daily reports from facilities for accuracy. Verify that revenue is reported and deposits balance. Verify daily reports to spreadsheet completed by facilities. Enter distribution sheets or other revenues as required into the accounts receivable software.
- Assist with procuring and filing certificates of insurance for vendors and renters.
- Assist with administration office front desk duties as required.
- Follow all Peoria Park District rules, policies, and procedures.
- As part of the internship program, all interns will assist in several Peoria Park District signature events, as assigned.
- All interns will participate in professional development sessions and team-building activities as assigned.
- Follow all safety procedures that pertain to the duties performed and support all aspects of the Peoria Park District’s safety program.
- Perform all other duties as assigned.
- This is a grant-funded position available to both high school-aged individuals up to 15 hours per week and undergraduate-aged individuals up to 20 hours per week.
Qualifications
Education: Current High School or College Undergrad student status. Must be at least 16 years old.
Knowledge and Ability:
- Ability to perform computerized data entry and must be proficient with Microsoft Office programs.
- Ability to communicate effectively with the public and other employees orally and written.
- Ability to be professional, respectful, accountable, innovative, to follow safety procedures, and be equitable to both internal and external customers.
