About the Job :
We are seeking an extremely organized Medical Coordinator who will serve as the vital link between us, our clients, and medical providers. 1) someone looking to get into this industry who has no / limited experience but is eager to learn. This person wants to find a place where they can work for many years to come. Further, he / she wants to either become the best medical coordinator we could dream of or grow / transition into another role at the firm. We are ok with either goal!
2) someone who knows they want to attend law school and is only looking for a job for the next six months / year / year and a half. Transparency is key, if you are honest with us and give us proper notice, this could work out great for everyone.
Key Responsibilities :
- Client Communication : Call clients bi-weekly to check in on treatment progression, loop in case managers on treatment issues, send emails to clients for non-compliance, and update communications tracker with a summary of all client communications.
- Scheduling : Arrange the initial client medical appointment and find the client a chiropractor. Ensure providers are convenient for the client and that all appointments are timely scheduled by providers. Further, arrange for transportation through the provider if the client does not have a vehicle at the moment.
- Record Keeping & Tracking : Request medical and billing records (with and without affidavits). Update internal treatment trackers. Double-check affidavits for accuracy and requirements (signature / notary stamp / etc.)
- Medical Email Management : Oversee dedicated medical inbox; respond to inquiries, sort medical emails in appropriate client folders, promptly save records as they come in.
- Billing & Treatment Coordination : Send LOPs (Letters of Protection), manage approvals for treatment with case managers, and work closely with providers to resolve issues.
- Case Management Updates : Keep case managers informed about clients’ treatment progression; notify them of non-compliance or scheduling conflicts and communicate about issues / concerns.
- Document Management : Scan, organize, and store medical records accurately and uniformly.
- Phone Coverage : Receive and transfer calls professionally and direct calls to the appropriate team members.
