What are the responsibilities and job description for the Administrative Assistant position at Pie?

- Inbox : Monitor and manage the founder’s inbox, prioritize emails, draft responses, and ensure timely follow-up on key communications.
- Calendar: Maintain and organize the founder’s calendar, scheduling meetings, calls, and events while balancing conflicting priorities.
- Travel: Plan and book both domestic and international travel, including accommodations, transportation, and itineraries.
- Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism, acting as a trusted partner to the founder.
- Onboarding & Offboarding: Coordinate new hire onboarding with Operations Lead and COO, ensuring workspace setup, IT provisioning, and training materials are ready. Similarly, handle offboarding tasks, including equipment return and system access removal.
- HR & Payroll Support: Collaborate with HR to manage employee records, benefits administration, and payroll coordination, ensuring smooth employee operations.
- Compliance: Support the Operations Lead on ensuring compliance on all appropriate dimensions.
- Event & Meeting Logistics: Coordinate logistics for internal meetings, team-building events, and company-wide gatherings, including catering, transportation, and space setup.
- Technology & IT Management: Support the Operations Lead on IT issues, coordinating with external IT support as needed and ensuring all office tech is functioning smoothly.
- Vendor Payments & Invoicing: Support the Operations Lead on vendor payments, manage invoicing, and ensure timely processing of operational expenses.
