What are the responsibilities and job description for the Part-time Administrative Assistant - Fire Department position at Pleasant Grove City?
Under direction of the Fire Chief, performs a wide variety of professional administrative and analytical duties. This position is responsible to assist with conducting and managing the Fire Department's administrative functions, such as organizational planning and assessment, resource coordination, data analysis/research, records keeping, reporting, business communications, public interaction, and purchasing. The Fire Administrative Assistant is responsible to assist in performing confidential administrative and clerical tasks and analysis for the Fire Department.
FUNCTIONS AND DUTIES
- Assists with customer service functions as needed. General reception of the public in person and via telephone, answering inquiries, providing general information regarding public safety and City services, placing and transferring calls.
- Type official correspondence, data, form letters and reports.
- Assists in the procurement of department materials and supplies.
- Collects and inputs data to standard office and department forms; makes simple postings to various reports such as annual reports, hydrant inspections, or fire inspections;
- Conducts inventories.
- Assists in planning department events and conferences.
- Acts as custodian of departmental documents and records.
- Schedules appointments, and performs other administrative and clerical duties. Provides assistance to walk-in first aid patients when needed.
- Issues burn permits.
MINIMUM QUALIFICATIONS
Education:
- High School diploma or GED required
Experience:
- One (1) year of related experience.
Knowledge:
- Working knowledge of computers and electronic data processing.
- Working knowledge of Microsoft Office products.
- Working knowledge of modern office practices and procedures.
Skills/Abilities:
- Ability to handle stressful situations
- Ability to read and interpret a variety of documents.
- The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
- Ability to effectively meet and deal with the public.
- Ability to communicate effectively verbally and in writing.
WORKING CONDITIONS
- Working conditions may vary.
- Work is typically performed in an air-conditioned office.
- No significantly hazardous conditions exist.
