Overview

The Presbyterian Historical Society is the oldest denominational archives in the United States and serves as the national archives for the Presbyterian church (U.S.A.) and its predecessor denominations. The society’s holdings include more than 250,000 titles reflecting the history of the Presbyterian tradition in America and over 30,000 cubic feet of official records and personal papers. These include records of congregations, presbyteries, synods, and General Assembly agencies of the current and some predecessor Presbyterian and Reformed denominations in America.

Basic Commitment

This position calls for a basic commitment to the mission of the Presbyterian Historical Society, the Interim Unified Agency, and the Presbyterian Church (U.S.A.) as well as a commitment to continue to dismantle white supremacy, sexism and racism in the Interim Unified Agency and the PC(U.S.A.). The position fosters collaboration, innovation and openness with colleagues, constituents and the wider church.

Purpose of the Position:

Processes or assists with tracking Presbyterian Historical Society (PHS) financial transactions in concert with Administrative Services Group (ASG) staff. Works with the PHS Executive Director and ASG staff to monitor PHS budgets, income, and spending. Oversees building operations at PHS with a focus on staff management, contracts, vendor relations, and accounts payable. Provides administrative support to PHS Board and staff.

Reports to: PHS Executive Director

Supervises: Building Superintendent; Maintenance Custodian

Responsibilities:

  • Prepares, processes, and/or tracks PHS financial transactions including check deposits, credit card payments, petty cash, check reimbursements and distributions, web invoicing/accounts payables, monthly credit card reconciliations, and travel expense forms; oversees accounts receivables (overdue and late payment notices).
  • Works with PHS Executive Director and other staff on PHS budgets, budget coding, and reviewing financial reports for accuracy.
  • Oversees PHS building operations, maintenance, and projects through supervision of building staff; manages capital projects and budget; monitors contracts; maintains vendor relationships; and coordinates with staff to address facility matters that impact work.
  • Assists with PHS administrative functions; takes minutes at PHS Board meetings; helps coordinate meetings and events.
  • Other duties as assigned by the supervisor or the Interim Unified Agency.
  • Education: College degree; or high school diploma/GED, some college coursework, and at least four years of relevant experience.

    Skills, experience and competencies:

    • Two to four years of office financial and administrative experience including work with vendors; knowledge of Microsoft Office products; excellent organizational skills.
    • Ability to work in a consultative and collaborative style.
    • Demonstrated commitment to value differences and the benefits derived from working with a broad range of people.
    • Ability to effectively manage interpersonal relationships. Fluency in English.

    Helpful Skills:

    • Have a deep understanding and commitment to cultural and racial ethnic inclusiveness. Values diverse groups, ethnicities, genders, communities, cultural constituencies and points of view. Able to relate well to people from all walks of life and of varying theological perspectives.
    • Ability to speak one or more languages other than English very helpful.

    Desired Qualifications: Supervisory experience; work with building staff or in building/facilities teams. Fluency in Spanish, Korean, or another language.

    Sensory or Physical Requirements: Sight and hearing required. Ability to use the computer for extended periods of time. Ability to communicate via telephone and via Zoom and other computer technologies. Ability to travel as scheduled.
