Description
Coordinates activities of Prestonwood Baptist Church (“PBC”) in the preparation, execution and completion of large group meetings and special events.
Responsibilities:
Ensure event budgets and contracts for special events have been fully approved for internal requests
Receive and review external requests with the Church Programming Director to determine if requests warrant facility use processing
Understand PBC facilities and space attributes to efficiently plan for logical facility usage
Understand fully the PBC church programming software and the processes necessary to support church programming
Work closely with PBC departments to ensure continuity in the planning and execution of special events
Enter special events and details into the PBC programming software for both campuses
Evaluate/submit floorplans and layouts to ensure the event request aligns with the event needs in correlation with the physical space
Evaluate, select and coordinate service providers according to special event requirements
Serve as PBC Event Host/Contact with internal and external events
Confer with staff at event site to coordinate event updates
Inspect event facilities to ensure conformity to requirements
Monitor special event activities to ensure compliance with PBC policies, satisfaction of participants, and resolution of complications
Review special event invoicing for accuracy and submit for approval to the Church Programming Director
Assist the Church Programming Director in preparation of weekly scheduling reports
Other duties as assigned
Qualifications
Requirements:
Growing relationship with Jesus Christ as Lord and Savior as an active member of PBC
College degree preferred
Experience working with project and facility space management software preferred
Prior experience in event planning, coordination and execution preferred
Strong knowledge of principles and processes involved in event planning, coordination, and execution
Strong planning, organizational, process implementation skills and attention to detail
Excellent written and oral communication skills
Intermediate skills using Microsoft Office software
Ability to work a varied schedule which will include evenings and weekends
Ability to perform physical activities that require moving one’s whole body, such as climbing, walking, stooping, pushing, pulling, balancingand lifting up to 30 lbs. without assistance and the ability to work at a desk for extended periods of time
