The Grants Coordinator (GC) is a member of the agency’s Development Team and is instrumental in advancing the mission of Prevention Links by coordinating the lifecycle of grant funding for the agency. This position is pivotal in identifying and securing new funding opportunities that align with the organization’s mission and programs. The GC will assist in the coordination of grant applications with the CDO. Additionally, the GC is tasked with managing the lifecycle of grants, which includes tracking critical deadlines, overseeing compliance with grant requirements, and maintaining meticulous records. This role requires proactive communication, as the GC will regularly notify the Chief Development Officer of upcoming deadlines and deliverables. The GC will also oversee the organization and maintenance of grant-related documents, including contracts, reports, and signed agreements, ensuring all files are up to date and accessible. Beyond grants, the GC will collaborate with the Development Team to support fundraising events and contribute to the agency’s overall development strategy. Grant Coordination Responsibilities:
• Assist with the preparation and submission of grant applications.
• Research and identify grant opportunities aligned with the agency’s mission and programs.
• Complete research necessary for grant narratives.
• Collaborate with internal teams to gather information and prepare grant proposals.
• Monitor compliance with grant contracts and manage the lifecycle of grants, including tracking reports, renewal timelines, grant end dates, and other key milestones.
• Keep meticulous records using grant management tracking system to ensure all deadlines are met.
• Notify the Chief Development Officer of upcoming grant-related deadlines.
• Manage and maintain grant files and documentation, including contracts and signed agreements, within the shared drive.
Event Support Responsibilities:
• Collaborate with the Development Team to support agency fundraising events.
• Assist as needed with fundraising efforts for large scale agency events.
Administrative Responsibilities:
• Ensure timely collection of necessary signatures for grant documents.
• Maintain accurate records and documentation of all grant activities.
• Notify all appropriate parties of newly funded grants including budget information, partnerships, objectives, etc.
• Execute MOUs with external organizations as appropriate.
Training Responsibilities:
• Work with the CDO and COO to ensure new grants are understood by the Division Director which will oversee the new program.
• Assists in the development and management of grant lifecycle tracking tools.
Communication Responsibilities:
• Answers phone appropriately; takes messages and makes appropriate referral when necessary.
• Consistently demonstrates excellent written and verbal communication skills, strong problem-solving abilities, and ability to exercise independent judgement and initiative as appropriate.

WORK FORMAT:
• This position is a hybrid position with a minimum of 3 days in office at the Prevention Links HQ, located in Kenilworth, NJ.
EDUCATION, EXPERIENCE, & SKILL SET:
• Bachelor’s Degree required.
• Minimum of 2 years of experience in grant writing or grant management.
• Strong organizational skills and the ability to manage multiple priorities.
• Excellent written and verbal communication skills.
• Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
• Ability to work independently and collaboratively within a team.

TRAVEL: Domestic travel is required for this full-time position. Local, independent travel throughout the state of NJ is required. Must possess a valid driver’s license and method of transportation. Position requires frequent travel within and outside of Union, Middlesex, Hudson Counties. All travel mileage will be reimbursed.
EVENING AND WEEKEND AVAILABILITY: Must be available evenings and weekends for meetings, outreach, & event coverage.
