Job Title: Senior Administrative Assistant Company: Prologis Senior Administrative Assistant, Global Operations, (Chicago or Denver) Do you want to play a role in global commerce? As the Senior Administrative Assistant, you will support 5-6 members of the Global Operations team. You’ll be the hub of the team’s business operations and the conductor who keeps them on track and on schedule. You’ll anticipate the needs of your leaders and help them stay focused on their objectives by driving all administrative functions. What’s needed in order to do that: Act as the gatekeeper for calendar management and meeting scheduling Coordinate travel arrangements and itineraries for the core team Process and manage expense reports and invoices for the team, act as primary team contact to liaise with AP/AR teams Complete projects as assigned, including, but not limited to: updating organizational charts, departmental contact lists, and creating/reviewing presentation materials Coordinate meetings and special events with internal and external stakeholders, preparing documents and agenda items, keeping notes, and helping with day-of preparation and take-down as needed Assist with the onboarding of new hires, contractors and consultants Partner closely with other support staff throughout the organization, for cross-training and backup support Conduct database maintenance for team shared systems, troubleshooting with vendors and users as needed Willingness to pitch-in and take on new projects as requested Tell us if you’re ready. Administrative Assistant with a minimum of 5 years of similar experience in a corporate environment Up to speed on the latest technology – MS Office Suite and accounting/travel software Enjoys autonomy as much as collaboration, not afraid to manage up and take initiative Ability to partner effectively and communicate with many personalities – sense of humor is key Experience in supporting multiple leaders who have multiple ongoing priorities Strong attention to detail and ability to maintain a high sense of confidentiality Ability to work core business hours of 8am-5pm, with flexibility for occasional overtime to support the team as needed. Hiring Salary Range of: $70,000-$85,000. Salary and whole compensation package (bonus target) to be determined by the candidate’s location, education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
