Radiology/Imaging Manager

JOB SUMMARY:                                              
The Radiology/Imaging Manager leads and manages the day-to-day operational activities for a assigned sections/modalities and support areas.  While the range of duties and responsibilities are broad and varied, the Radiology managers primary responsibilities are managing the day-to-day operations including the delivery of care, human resource management, capital and operational budgeting, equipment oversight, financial management, and performance improvement activities. The manager is a positive, effective member of the Radiology/Imaging team, fostering a customer/patient focused perspective and ensuring the highest-level service standards.  The manager participates as an important member of the management team to address and resolve broad management administrative issues such as planning for future programs and services, procedure for coding and revenue capture, cost monitoring and control, patient scheduling, patient and staff safety, continuous workflow improvement and monitoring, operational monitoring, regulatory compliance, public relations and the overall timeliness and qualify of services provided to customers across the department. The individual maintains collaborative multi-disciplinary relationships with CBH leadership and also outside the organization to ensure effective integration of strategic objectives, performance management, quality improvement and technological performance.


DUTIES AND ESSENTIAL JOB FUNCTIONS:                           
Human Resource Management
1.    Create job requisitions for vacant positions.
2.    Interview and hire qualified job applicants.
3.    Orient new employees on the overall job requirements, policies and work procedures.
4.    Prepare performance evaluations, discuss performance evaluations with employees, CEO and HR Director.
5.    Delegate work duties and responsibilities as necessary among staff.
6.    Counsel employees on unsatisfactory work performance or behavior.
7.    Approve time off requests and work schedules ensuring proper coverage.
8.    Approve time sheets.
9.    Maintain proper time records and submit proper information on time to payroll.
10.    Work with other Radiology leaders and Medical Staff to develop materials used to teach the technological staff.
11.    Coordinate the proper training for new staff.
12.    Maintain up to date competency and coordinate training necessary to keep technical staff current with the latest technological advancements. 
13.    Ensure completion of annual trainings, competencies and obtain and communicate information to human resources.
14.    Provide regular staff meetings.


Manage Budget, Billing, Inventory
15.    Prepare the operating budgets (revenue and expenses) for the Radiology department.
16.    Analyze monthly operating and financial statements noting variances in operating expenses or revenue production and determine if actions are necessary to resolve variances falling outside the limits of budget tolerance.
17.    Responsible to meet budget targets including operating costs and revenue production.
18.    Monitor flow of patient charges and intervene as necessary to ensure timely, accurate and comprehensive flow of patient billing information.
19.    Participate in the selection and initiate purchase of major or minor capital equipment items.
20.    Responsible for acquiring, managing and ensuring optimal usage of consumable supply inventories.
21.    Work to maintain minimal necessary inventory by standardizing product and cost while ensuring acceptable levels of quality. Work with Medical Staff on product selection as necessary.
22.    Approve vendor invoices or oversee staff performing this responsibility.


Day-to-Day Operations, Programs, New Program Development
23.    Review patient schedules daily.
24.    Review attendance records of staff and other support staff daily. Ensure proper coverage for anticipated workload.
25.    Develop staffing models to ensure operational needs and budget constraints are met.
26.    Contact patient care areas to follow up and respond to needs in previous 24 hours.
27.    Interact with CBH staff and others throughout the course of the day to address and resolve any issues that impact the provision of services.
28.    Work with the Admitting/Scheduler to keep the daily work flowing smooth and prevent excessive waiting times for appointments and in the department waiting.
29.    Work with Admitting/Scheduler to resolve scheduling problems and conflicts.
30.    Communicate with other departments and attend meetings to solve scheduling problems and conflicts with the objective of eliminating future challenges. 
31.    Ensure that staff updates the patient waits and delays on an ongoing basis and keeps the patient informed.
32.    Monitor scheduling access by determining priorities for performance of examinations considering patients conditions and examinations being requested.
33.    Determine procedural frequency to ensure optimum productivity of equipment while still allowing time for examinations to be completed.
34.    Develop and Review benchmark data, statistical information, and KPI’s. 
35.    Initiate and make suggestions for new methods of service improvements.
36.    Lead multi-disciplinary teams on process improvements using structured CBH tools.
37.    Monitor and evaluate applications and quality of new equipment and software enhancements provided by outside manufacturers or internal program sources.
38.    Write new or update policies and procedures to support current or new programs and submit to CEO for approval.
39.    Monitor and share patient satisfaction feedback. Work with staff to address negative feedback to improve patient experience and standard of care objectives.
40.    Responsible for protocol development and appropriate documentation, updates and archiving.
41.    Manage the day to day physical space and systems in areas of responsibility.


Safety & Regulatory Compliance

42.    Determine, write, implement and update patient and employee safety policies and procedures including guidelines and/or staff education on the use of the facility equipment. Monitor effectiveness and redirect if necessary.
43.    Work with CBH Risk Management and Safety to ensure that safety standards are being met with minimal risk.
44.    Ensure staff comply with safety and regulatory requirements.
45.    Schedule and oversee preventative maintenance on imaging systems to ensure all instrumentation is safe and in good working condition. 
46.    Work with proper sources to resolve equipment malfunctions to ensure that all regulatory requirements for equipment performance are met.
47.    Oversee performance of quality assurance and quality improvement activities including exam quality, image quality and equipment systems, etc. Assess documentation of problems encountered. Investigate and respond.  Ensure the appropriate processes and documentation are documented and completed and maintained.
48.    Responsible for the accreditation such as ACR and MQSA.
49.    Demonstrate prescribed operating procedures to ensure the highest quality of patient care and service.  Committed to perform the standards of patient safety.
