QED Systems, LLC, is currently recruiting an Office Operations Specialist to join our team at Aberdeen Proving Ground, MD to support our customer, Project Manager Intelligence Systems & Analytics (PM IS&A), Product Lead Intelligence Enablers.
Duties:

Provide support services related to refining, executing, or tracking actions to efficiently operate. Services may include the following:
- Track assignment and close-out of information requests, actions and work product requirements generated internally or from external sources.
- Assist with memorandum of agreements (MOAs) and memorandum of understandings (MOUs); and assist with Program Management Plans and Reviews and other associated documentation.
- Maintain data stores, files, archives, and repositories.
- Assist with security functions including access to the program office and SCIF.
- Submit requests or tickets for service.
- Support staff synchronization and collaborative connections; generate and maintain PdM and PM email distribution and conference phone lists.
- Write and update scenarios for operational planning and emergency preparedness.
- Coordinate and align meetings; participate in recurring meetings (i.e., coordination meetings, IPRs); prepare meeting minutes.
- Route information to higher headquarters, internal staff, and subordinate organizations.
- Process, track, and disseminate reports (i.e., quarterly/annual reports).
- Attend and assist the PM in high level meetings.
- Safeguard and deliver Government material.
- Manage formal requests for staffing; assist with onboarding activities.
- Coordinate facilities management.
- Assist with delivery of required training and track individuals’ compliance with training requirements for professional development.
- Support and assist other administrative and operations personnel in office procedures, keeping them updated on changes related to correspondence, messages, reports, forms, filing, training, travel security, and personnel procedures.
Required Knowledge & Experience:
- Detailed-oriented with excellent technical, verbal, and written communication skills.
- Knowledge of AR 25-50 and applies this to formatting and proofreading documents, such as meeting invitations, memorandums, confirmations.
- Experience with management of tasks received from higher headquarters by sending out original taskers, reminding tasked individuals/officers of tasks, collecting finished taskers, closing taskings. Direct experience with the HQDA Task Management Tool.
- Direct experience with producing Situational Reports (SITREPS) and briefing charts.
- Proficient with PowerPoint and Adobe SW.
- Experience with MIRARs or similar accounting system; experience as a SharePoint administrator.
- Experience with office security tasks such as building badges and visitor requests; experience with DISS to assist with office security tasks.
Required Clearance:
- ACTIVE CLEARANCE LEVEL REQUIRED: Secret
Qualifications:
- Bachelor’s degree required. Degree preferred in Business Administration or related degree.
- At least ten years of direct experience providing general administrative and set-up support for conferences, meetings, and Town Halls; preparation of administrative, conference-related documents and correspondence is required.
- An additional five (5) years of related experience may substitute education.
Travel:
Less than 10% travel is expected for this position. Travel may include continental United States and outside continental United States locations.
Work Environment:
This position will be co-located with the customer and other contractors in Government office spaces.

Position Type/Expected Hours of Work:
This is a full‐time position, Monday through Friday. Flexibility around core hours. Travel may occur outside of normal core hours.

Estimated Salary Range: $80,000.00 - $85,000.00, annually. This is not a guarantee of compensation or salary. This represents the typical range for fully qualified candidates for this position based on experience, geographic location, and other factors. The final offer amount may vary.
