Rakuten Marketing is Hiring an Executive Assistant Near New York, NY
Job Description: Rakuten Advertising is looking for a sharp, driven, and multi-tasking Executive Assistant to provide executive and administrative support to 2-3 executives in various office locations. The role will be based in our New York office. The candidate will perform administrative duties such as, but not limited to, scheduling internal and external meetings, assisting with PowerPoint presentations and Excel spreadsheets, booking travel, preparing, and submitting expense reports via Oracle, and reserving conference rooms. Light personal work such as ordering food/gifts or coordinating personal appointments may be required at times. The Executive Assistant may also assist office management with the occasional setup of breakfast and lunch meetings. Key Responsibilities: Management of scheduling, calendars, and T&E for the executives Some project/program management of initiatives, including documenting, tracking, and helping to drive to completion key deliverables, with consistent and thorough follow-up on outstanding items Collect, review and correct weekly, bi-weekly, and monthly reports from department staff Provides back-up administrative coverage to C-level executives Regular collaboration with other staff members regarding cross-functional meetings, events, and other initiatives, and with other colleagues as appropriate The use of sound business judgment, particularly as it relates to confidential information and people outside the organization Handle multiple tasks at the same time, anticipate the executive’s needs, and change direction quickly and often without having all the details Manage expense reports, coordinate domestic and international travel, and be the primary point of contact for visitors meeting with our execs Own and organize work logistics, lunch and dinner ordering when organizing events, and other ad-hoc requests Requirements: 3 years’ experience as an Executive Assistant—assisting multiple busy executives a plus Proficiency in Microsoft Word, PowerPoint, Excel, and Outlook; experience with Oracle, JIRA, and Zoom a plus Ability to work with remote executives Strong interpersonal communication skills Extremely patient, approachable, and flexible—able to deal adeptly with assorted personality types Ability to prioritize and anticipate needs, handling multiple projects successfully in a fast-paced environment Excellent organizational skills A “no task is too small” attitude, with an innate desire to lend a helping hand to colleagues Strong problem-solving skills, exhibiting initiative and a sense of urgency Tact and good judgment in confidential situations Exceptional attention to detail and organization skills Confidence, experience, professional presence, and superior communication skills Strong business acumen complemented by intellectual curiosity for our business Unquestioned integrity and ethics, self-driven, and solution and detail-oriented The ability to work well under pressure in an ever-changing environment Bachelor’s Degree preferred Rakuten Shugi Principals Always Improve, Always Advance. Quick and accurate decision making. At the time of posting, Rakuten expects the base salary for this role will be between $78,000.00-$96,000.00. Individual compensation will vary based on job-related factors, including the skills, qualifications, and experience of the successful candidate as well as business need and geographic location.
