Office Administrator Position
2 Positions Available Brick and Lavallette
OBJECTIVE: To assure that the day-to-day functions of the Front Desk are performed at the level of excellence established and that said level is maintained consistently. To continually report and meet with supervisor to determine the most effective and efficient ways of achieving and maintaining this level of excellence.
Job Tasks and Responsibilities
Opening and Closing the Office
Open and prepare office each morning, turn on lights, TVs to RE/MAX Channels, radio system
Ensure lobby area & front desk, kitchen, bathroom and printing area is neat & clean
Check and refill paper tray in Printer
Close and shut down office each afternoon, turn off lights, TVs, radio system
General
Order office supplies when needed
Attend Monthly Staff Meetings
Assist manager and training with “on-boarding” of new agents to the company using Asana
Attempt to solve any technical issues or call printer, phone support when issues arise
Attempt to help agents solve any RE/MAX Tech issues or call eCare when needed
Check for mail and distribute
Phones
Answer incoming calls and “warm transfer” to agents or take messages and forward to agent
Record all calls in the phone log book
Forward faxes and voicemails from RingCentral
Coordinate Lead Day Calendar and ensure agents receive unaffiliated leads immediately
Dotloop
Accept and organize Listing and Sale Files and complete a prelim approval
Once every two weeks, check pending sales to ensure closing status and date is accurate
Once every two weeks, check “returned to agent” status for missing or incorrect paperwork
Attempt to help agents with any Dotloop issues or call Dotloop Support when needed
Work through and perform Listing task list for agents who take a new listing
Culture
Track all agent birthdays and work anniversaries and send out gifts at that time
Check in on agents in the office to see if they need anything. Keep agents happy!!
Help coordinate office outings, events and training classes
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
Expected hours: 40 per week

Experience:
- Administrative Assistants & Receptionists: 1 year (Preferred)
- Customer service: 1 year (Preferred)
