Job Description
The Payroll Administrator is responsible for managing and processing employee payroll for both the United States and Canada, ensuring accurate calculations, timely payments, and compliance with relevant labor laws (federal, state/provincial, and local) in both countries. The successful candidate exercises independent judgment in planning and carrying out the details of work process/procedures and handles sensitive and confidential information discreetly and professionally.
Essential duties:
- Work closely with the Payroll Specialist to ensure accurate calculation and processing of bi-weekly payrolls for employees in the United States and Canada, including base pay, overtime, bonus, taxes, benefits deductions, and garnishments.
- Stay current with U.S. and Canadian payroll regulations, ensuring compliance with federal, state/provincial, and local laws regarding tax withholdings, deductions, and reporting requirements.
- Work closely with the Payroll Specialist to review and verify over 600 employee timesheets from our U.S. and Canadian locations for accuracy, ensuring proper approvals and adherence to company policies.
- Meticulously review data, identify errors, and ensure accuracy in all payroll calculations.
- Efficiently input and manage large volumes of employee data into the payroll system, maintain accurate employee records, and update payroll information as needed.
- Perform regular payroll reconciliations, generate payroll reports, and analyze data to identify discrepancies and potential issues.
- Communicate clearly and concisely with employees, HR, accounting, and other stakeholders regarding timesheets, payroll issues, reconciliation, and updates.
- Respond to employee inquiries related to payroll, tax deductions, and benefits deductions, providing clear and timely information.
Qualifications
Required Qualifications:
- Associate or bachelor’s degree in Finance, Accounting, Business Administration or the equivalent combination of education, training, and experience
- Demonstrated experience in payroll processing with the ability to manage or learn to manage U.S. and Canadian payroll functions, including preparation, balancing, internal control, and payroll taxes
- Extensive understanding or the ability to research and apply payroll laws in the United States and Canada, including federal and state/provincial regulations, tax codes, and payroll deductions
- Prior use of payroll processing software systems with an ability to adapt to new technologies
- 3 years of progressively responsible administrative experience in payroll processing
- Adept at communicating effectively with colleagues at all levels, across multiple geographic locations, and with varying cultures or backgrounds
- Proficient with Microsoft Suite, specifically Excel, Word, and Outlook
- Excellent organizational skills and attention to detail
- Ability to work with large datasets
- Strong analytical and problem-solving skills
- Ability to prioritize work demands while working independently
Preferred Qualifications:
- Experience with Paylocity and/or BST
- Certified Payroll Professional (CPP) Certification
- Davis Bacon payroll experience
