For more information, please visit RegencyCenters.com. About this Opportunity: Regency Centers is seeking a Senior Administrative Assistant to join our regional office located in Vienna, VA. The Sr. Administrative Assistant provides advanced administrative support requiring broad experience, skill and knowledge of organization policies and practices to the retail leasing team to ensure smooth daily operations. Key Responsibilities: Assists with daily operations (i.e. prepares correspondence, leasing documents, reports, screens and directs telephone calls and visitors, resolves routine and more complex inquiries, maintains department databases, etc.) Makes travel arrangements, schedules meetings and appointments, and coordinates related arrangements Handles accounting-related responsibilities such as expense reports, payment requests, invoice processing, lists of payables, etc. Provides miscellaneous services such as filing, copying, scanning, handling mail, time-sheets, client or board packages, etc. Works on special projects/assignments as designated during the year Liaison for leasing team and all other office departments. Coordinates, updates, and communicates tasks and developments as needed Coordinate with multiple outside vendors to ensure procedures are followed and tasks are executed Assist with broader office administrative duties from time-to-time Qualifications: High School Diploma or equivalent Associate’s degree or higher in Business Management, Office Management, Legal Assisting or related discipline preferred Three (3) years of related experience requiredAdvanced level proficiency with current Microsoft Office software, email and internet functionality Basic math skills Prior experience in the commercial real estate or related field preferredNotary Public preferred Personal Characteristics: High level of professionalism and integrity; must be trustworthy and able to handle confidential and proprietary information appropriately Strong attention to detail, organization, priority setting and time-management skills Good (internal and external) customer and task focus coupled with interpersonal savvy and perseverance skills Self-motivated, works equally well independently and with a team in a multi-tasking, dynamic, team oriented environment Must have a high energy level with a positive, upbeat attitude Must be conversational and people oriented Capable of precise verbal and written communication, even when under time constraints Benefits: We recognize people as our most valuable asset.
