SUMMARY

The Business Office Manager is responsible for managing the Health Center Admissions and Business Office teams and for establishing/maintaining open, effective communications between the facility and referral sources, physicians, third-party payers, their families and Interdisciplinary Teams (IDT).

Daily responsibilities:

  • Responsible for all billing and collections for the Private Pay and Hospice payers. Assist CBO with insurance collections.
  • Keep and maintain on-going daily/monthly census activity in PCC such as admissions, discharges, deaths, room transfers, changes in payment methods, physician changes, isolation changes and short-term vs. long-term.
  • Performs a daily balance of PCC against internal reports for matching census.
  • Maintains correct payers on residents in PCC and create claims for payors for billing purposes.
  • Applies for Medicaid for residents that need it or coordinates portions of the application process with hired services.
  • Reviews all orders daily for residents for consolidated billing appointments and minimizing out-of-pocket costs for the Health Center.
  • Obtains carve-outs for eligible residents/medications when appropriate by working with the Case Manager and Omnicare. Billing for carve-outs at end of month with proper forms and approvals.
  • Manages the Triple Check meetings throughout the month for billing according to Medicare and internal requirements.
  • Manages the daily/weekly PPS meetings with the IDT.
  • Creates and manages the monthly Part A and Part B insurance logs for the IDT daily.
  • Performs insurance verifications for all Part B and Outpatient therapy referrals.
  • Performs quality measures on all admission contracts executed daily and maintains required AHCA logs regarding those contracts.
  • Maintains complete confidentiality regarding resident records.
  • Performs desktop deposits for the Health Center Accounting office daily.
  • Provides coverage for the Admissions Coordinator when out of the office.
  • Manages the Admissions and Business Office team including annual reviews, hosting meetings, education and disciplinary issues.

Qualifications:

  • Good working knowledge of Medicare Part A and Certification procedures.
  • Experience in a long-term care setting desired.
  • Must possess excellent oral, written and interpersonal skills, as well as the ability to juggle multiple priorities.
