Business Systems Manager Position Summary:
This position is responsible for supporting company operations by maintaining business office systems. This includes direct supervision of the local admin staff and indirect supervision of the terminal admin staff. The Business Systems Manager will develop and monitor workflows, innovate new ways to improve efficiency and adjust systems to satisfy customer requirements. This position will also be responsible for responding to customers’ administrative needs, discussing challenges and working with the rest of the management team to develop action plans to improve safety, performance, profitability and customer service for the entire company.

Supervisory Responsibilities:
This job has supervisory responsibilities for all admin and accounting staff including bookkeeping, human resources, accounts payable, cash receipts, freight billing and receptionist. This includes responsibility for employee performance reviews and feedback; providing coaching, motivation and encouragement; scheduling and time off coverage; and holding staff accountable for responsibilities. May be required to perform other duties to cover staff shortages or address customer needs.
Responsibilities
- Organizational compliance and filings, including corporate and transportation related
- Insurance: With the General Manager, manage insurance policies for all equipment, vehicles, locations and subsidiaries.
- Customers: Establish and implement systems for contract management, billing, and collections. This includes establishing rendition billing requirements and working with our software vendor to set up EDI and ACH whenever possible. Also, create ongoing and ad hoc reports as required by the customers.
- Contractors: Establish and implement a system for contract management, enforcement and renewal.
- MIS – Responsible for executing the project planning process with the internal/external project team and vendors to plan system upgrades, new system implementations, and cyber security initiatives. Incorporate critical project planning aspects, such as Help Desk Support, Disaster Recovery, Cyber Security, Training (IT and Business), and Stakeholder involvement from project inception.
- Build and maintain a positive work environment where team members and their contributions are recognized and valued. Maintain frequent communication with all team members (some are remote.)
- Organize and schedule all necessary resources required to accomplish activities.
- Assist with data collection and reporting required for various customer and compliance reports.
- Resolve customer billing and payment issues.
- Responsible for overseeing property maintenance.
Knowledge and Critical Skills/Expertise:
Education/Experience:
- Associate or Technical Degree required, bachelor’s degree preferred in Logistics, Transportation, Business or related field.
- 3-5 years of experience in business management (transportation related preferred).
- Demonstrated experience leading, directing, communicating change and developing a team strongly desired.
- Preferred candidates will have a working knowledge of accounting or transportation management software.
- Solid written and oral skills with a strong ability to work with others.
- Understanding of financial statements.
- Aptitude to gain further competency in statistical and/or transportation analysis tools.
Language Skills: Excellent English communication skills required both written and verbal. Must be able to communicate well under pressure.
Mathematical Skills: General Mathematics. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Technical Skills: Must be able to create documents, spreadsheets, and have a strong knowledge of specific programs. Working knowledge of Microsoft Office (Outlook, Word, Excel) a must.
Reasoning Ability: Ability to solve practical problems and to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Other Skills and Abilities: Excellent service orientation and skills a must.

Physical Demands:
Seeing – Must be able to see well enough to read reports and use a computer.
Hearing – Must be able to hear well enough to communicate on the phone and in person. Standing/Walking/Mobility – Must be able to stand to operate office machinery.
Sit – Regularly required to sit.
Climbing/Stooping/Kneeling – Must be able to stoop and kneel for short periods of time. Lifting – Must be able to lift up to 25 pounds.
