Administrative Assistant : TN Office
Reno & Cavanaugh, PLLC, a law firm with offices in Washington, DC, Nashville, TN, Columbia, MD and New York, NY, seeks an Administrative Assistant for our Nashville, TN office.
The ideal candidate will be proactive, highly organized, and detail-oriented, with the ability to manage multiple priorities in a fast-paced environment. Exceptional administrative, time management, and communication skills are essential. Discretion and confidentiality are imperative qualities for this role.
As an Administrative Assistant, your responsibilities include, but are not limited to :
- Providing support to the Talent & Operations Manager by assisting with annual staff performance reviews, staff engagement surveys, and inclusion surveys, firm employee candidates and interview scheduling, employee onboarding and offboarding, maintaining spreadsheets, payroll, and other HR functions. Supporting the Firm Managing Member with post-closing activities, closing binder assembly and performing filing and data entry.
- Coordinating attorney travel arrangements, preparing new business intake forms, assisting the firm conflicts team, and overseeing firm audit and engagement letters.
- Managing the reception desk and welcoming visitors, handling deliveries and courier packages, overseeing incoming and outgoing mail, and maintaining conference rooms, workrooms, kitchens, and other common areas. Additional duties include ordering office and kitchen supplies, coordinating catering for in-house staff and client meetings, preparing for meetings, and arranging servicing for postage meters, photocopiers, and other office equipment.

This full-time position is 5 days a week in the office, with an option to work a hybrid schedule of 4 days a week in the office after 1 year. May require overtime during peak periods or to meet deadlines. Time worked in excess of 40 hours per week will be paid at time and one-half of the hourly rate.
