Receptionist

Schedule: On-call, 2nd or 3rd shift

Position Summary: Provide additional assistance in cases of emergencies at the Warm Friend facility and professional coverage of the front desk and telephone system. Deliver exceptional, person-centered customer service in all aspects of job execution and performance.
Essential Responsibilities:
  • Report to work at Warm Friend building from 10:00 pm to 6:00 am. If the scheduled receptionist calls-in or has to leave the facility during the shift this position would assume the receptionist duties.
  • Receive, screen, route and direct telephone calls and in-person inquiries to all departments in a pleasant and professional manner.
  • Greet and assist residents with daily needs.
  • Sort inter-office and external mail.
  • Assist in various clerical and administrative projects.
  • Deliver and pick-up meal trays, replenish coffee shop supplies throughout the day and evening.
  • Ensure the safety and cleanliness of assigned areas.
  • Display excellent customer services skills by projecting a positive and cheerful demeanor with staff, residents, customers and vendors at all times.
  • Perform a variety of cleaning tasks such as vacuuming, dusting, mopping, and sweeping. Maintain the cleanliness of restrooms, coffee shop, lobby, entry ways, dining room, and exterior spaces/sidewalks.
  • Perform “rounds” of selected residents at various times throughout shift.
  • Assist in the set-up, take-down, clean-up and coordination of activities and events as needed. Assist with the operation of the theater system in the Gathering Room.
  • Act as a first responder to emergency call system and fire alarm.
  • Make referrals to the Residential Services Manager regarding resident concerns and behavior issues.
  • Develop and maintain professional and appropriate relationships and rapport with all residents.
  • Maintain a professional appearance and approach with all residents.
  • Assumes all other position related responsibilities as assigned.
Knowledge, Skills & Abilities:
  • Ability to complete multiple tasks with interruptions.
  • Professional phone skills and appearance.
  • Effective decision-making skills.
  • Ability to effectively coordinate emergency and evacuation situations when necessary.
  • Ability to speak clearly and distinctly when making announcements.
  • Effective verbal and written communication skills.
  • Ability to operate standard office equipment including fax, calculator, telephone, copier, audio visual equipment, etc.
  • Computer literate and familiarity with Word, Excel, Email, Video Messenger, etc.
  • Communicates effectively and tactfully, while recognizing age, cultural orientation, needs, abilities and physical condition.
  • Ability to display a sense of caring, concern, compassion and dignity for residents.
  • Ability to establish and maintain effective and professional working relationships with residents, families, visitors, and employees.
  • Well organized and attentive to detail.
Education, Training, Experience:
  • High school graduate or successful completion of GED.
  • Previous receptionist experience or training desired, preferably working with the elderly.
  • Participates in learning and development opportunities.
  • Attends all required training and departmental meetings.

  • Flexible schedule with ability to work weekends, evenings and holidays.
  • Practice the highest standards of ethics, honesty, and accuracy.
  • Understand and support Resthaven policies and procedures.
  • Assumes all other position related responsibilities as assigned.

Work Environment:
  • While performing the duties of this job, there are no extreme temperatures or working conditions. The employee may be exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate.
