Special Events Manager

Oversees all aspects of event operations. Strong focus on executing events, as well as managing and developing banquet staff members. In addition, this role will include some administrative and office duties to support the overall operation of the sales department. Reports to Director of Sales

Overall Duties

Executing majority of events.

o Act as the primary point of contact during events, handling any last-minute changes or issues.

o Manage a team of staff, as well as communicating with other departments as needed.

o Oversee event timelines and day of logistics, ensuring that everything runs smoothly and on schedule.

Event Operations

o Create Event Packets. As well as creation and inclusion of event staff notes, room and display diagrams, and pickup lists for offsites as needed.

o Send DSR after every event.

Office & Administrative Duties

o Assist with general office duties, including filing, scheduling, and inventory management for event supplies.

o Ensure all events are added to Outlook Calendars.

o Flexibility to take on and execute additional projects as needed.

o Manage event inquiries via phone, email, and in-person meetings, ensuring timely responses.

o Put event spaces on hold as needed, copy Director of Sales on emails to take over.

o Keeping up with Banquet staff TABC Certifications/Food Handlers Certifications.

o Weekly Directional Duties

  • Enter display items being used for events into reserve and ensure they are not being used twice – before catering meeting on Tuesdays.
  • Pull catering BEOs (send to management) & Print for meetings.
  • Add all staff to events in Reserve, have ready prior to catering meetings.

Maintain organization of LBW for sales department

o LBW COS after every event and sent within 24 hours of event.

o Input LBW quantities into BEOs each week

o Pulling LBW as needed.

o Follow up on LBW and mixers being pulled weekly

Assist with New Hire Process

o Upon hiring approval, ensure Employee is added to Paycor. Schedule Orientation.

Communicate all room resets to staff and managers. - Follow up on a daily basis.

o Send brunch resets to brunch manager

Inventory

o Inventories performed once a period. Maintain a system to check in and pull items as they come in.

o Additionally keep up with soda/water inventories, order as needed.

Skills & Competencies:

  • Detail-oriented with strong problem-solving abilities.
  • Leadership skills to manage event teams and ensure smooth operations.
  • Ability to work under pressure and adapt to last-minute changes.
  • High level of professionalism and customer service focus.

Qualifications

  • Excellent organizational and multitasking skills, with the ability to manage multiple events simultaneously.
  • Strong communication and interpersonal skills, with the ability to build and maintain client relationships.
  • Proficiency in event management software and Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.

Physical Requirements:

  • Ability to stand for extended periods and lift or move items up to 25 lbs as needed during event setup or breakdown.

Job Type: Full-time

Pay: $40,000.00 - $55,000.00 per year
