Right At Home is Hiring a Staffing Coordinator / Scheduler Near San Antonio, TX

Job Summary

Performs various supervisory activities for scheduling appropriate caregivers to clients, timecard processing, where necessary, and monitoring of telephony system and other payroll responsibilities as needed and other office coordination duties.

Essential Functions

  • Assist implementing the policies and procedures approved and mandated by the Texas Health and Human Services
  • Maintains an ongoing liaison with the Administrator/Alternate Administrator, Right at Home SA employees and contractors.
  • Ensure and participate in caregiver staffing to ensure an adequate number of qualified personnel are on staff to make sure we have an adequate plan for employee hiring, orientation, evaluation, in service training and discipline. A 1.5 or greater employee to patient ratio must be maintained. Work with the HR Manager to ensure that at a minimum this staffing ration is met.
  • Ensures the accuracy of client schedules and coordinates day to day activities of caregivers.
  • Maintains compliance with applicable employee staffing laws and regulations.
  • Promotes and represents Right at Home in the community.
  • Participate in Right at Home quality improvement activities.
  • Ensures the accuracy of documentation of clients' and employees' records in Clearcare ensure current and compete personal records for all homecare associates.
  • Assesses new client referrals for homecare service.
  • Required to supervise and direct companions/home health aids on the job as often as necessary.
  • Work with HR Manager to write-up and conduct employee disciplinary actions as needed.
  • Perform after hour/on-call coordinator duties, two weeks per month.
  • Answers telephone, takes inquiries or messages using good telephone technique.
  • Receives referrals and inquiries for Right at Home SA.
  • Interviews and screens all applicants.
  • Schedules and coordinates day to day activities of caregivers.
  • Assists with recruiting, associate hiring, orientations, in-services, disciplinary actions, etc.
  • Performs payroll validation to include verifying time sheets, verifying mileage, updating telephony records, and computer input for payroll processing. This should be completed by 10am every Monday so payroll and billing can be conducted.
  • Maintains documentation of associate work record in Clearcare and ensures current and complete personnel records for all caregivers.
  • Communicates continually with caregivers and clients to evaluate service.
  • Responds promptly and courteously to all clients' calls.
  • Assists with sales, marketing, and public relations efforts as requested.
  • Deactivate employees and patients as needed with proper documentation.

Additional (non-essential) Functions

  • Other general office and clerical functions.
  • Other duties assigned by the Owner(s).

Education, Experience, Knowledge, Skills, Abilities and Availability

  • High School graduate or equivalent with two years of business experience.
  • Basic office and computer skills and organizational abilities. Excellent interpersonal relations abilities. Excellent telephone skills.
  • Knowledge of common medical terminology.
  • Able to work independently, demonstrating sound judgment.
  • Read, write, speak, and understand English as needed for the job.
  • Be available as required for on-call duty outside of normal office hours.
  • Have a valid driver's license and use of insured automobile or access to adequate transportation.
  • Not have made any material false statements concerning qualification requirements either to the Department of Human Resources or to Right at Home.
  • Never have been shown by creditable evidence (e.g., a court or jury, a department of investigation, or other reliable evidence) to have abused, neglected, sexually assaulted, exploited, or deprived any person or to have subjected any person to serious injury as a result of intentional or grossly negligent misconduct as evidenced by an oral written statement to this effect at the time of application.
