Annual Salary $70,000-$74,000 per year
The Food Bank & Facility Manager assures the smooth functioning of Ritter Center's Pantry and in-kind donations coordination to ensure quality delivery of services, as well as manages the repair and maintenance of all campus facility needs. Excellent customer service and de-escalation skills are needed since this role provides org-wide service information and interacts with a wide variety of staff members, clients, volunteers, outside vendors, and members of the community. Familiarity and comfort with the homeless and low-income population is essential in this role. Strong administrative skills with data entry, database and spreadsheet management, and timely deadline completion are critical to fulfill the Pantry's grant-required reporting due dates each month of food recipients, volunteer hours, and in-kind donations received. Prior staff management is required to support the selection, training, mentoring, and ongoing oversight of the Pantry's volunteers as courteous, compassionate, productive team members. Extensive project management experience is essential to independently assess facility and equipment problems, research and provide recommended solutions, and manage contractors for complete and timely project implementation. As a department leader, this position contributes to the development, implementation, and maintenance of effective organizational strategies, policies, and practices of Ritter's Leadership team.
Essential Job Duties and Responsibilities :
- Oversee Ritter's Pantry operations to ensure that food, clothing, toiletry, and other client assistance donations and purchases are received and stored in a clean and organized manner, distributed equitably, and tracked appropriately.
- Manage all aspects of the Pantry volunteer program, including use of the volunteer recruitment app to promote Pantry volunteer opportunities, select and assign volunteers where needed, train / direct / support / assist volunteers, maintain volunteer authorization records, track all completed volunteer hours.
- Act as liaison to Food Bank and local businesses making food deliveries, as well as community members making in-kind donations; coordinate unloading of donations, sorting and organizing inventory, and tracking all in-kind donations with a receipt.
- Manage all phone calls and in-person service inquiries and coordination of donation drop-offs and off-site pick-ups.
- Manage client laundry appointment scheduling and maintain washer / dryer area in a safe and clean condition at all times.
- Coordinate daily Pantry task coverage by volunteers or Assistant Manager; provide coverage during lunch periods and for Assistant Manager when on leave.
- Manage multiple tasks while supporting clients with complex and sometimes challenging behaviors.
- Enter and manage accurate data reporting of : client demographics and bus pass distribution in the appropriate database (daily), Food Bank food recipients sign-in sheet (daily), volunteer hours(weekly), in-kind donation receipts (weekly), Food Bank Monthly reports (monthly).
- Manage the daily opening and closing Pantry procedures to ensure a safe and clean environment at all times.
- Assist Ritter campus leaders with client de-escalation needs as needed.
- Attend monthly BWELL meetings to stay up to date on client care and special needs.
- Participate in the client 'Do Not Admit' committee with other campus leaders to be aware of individuals who are not allowed on campus.
- Support special client events registration, as requested.
- Provide monthly reports to the Board of Directors, as requested.
- Manage grant-funded Pantry projects per the requirements of the funder.
- Conduct weekly Assistant Manager check-ins to ensure project deadlines are being met, evaluate and refine Pantry processes, and review volunteer needs and promotions.
- Meet with Operations Team weekly to review status, coordination and completion of facility and equipment projects.
- Coordinate maintenance of company vehicles (e.g. : box truck, passenger vans, St Med van, Harm Reduction van), schedule repairs as necessary, and track all service on maintenance spreadsheet.
- Assist in maintaining cleanliness of campus grounds.
- Meet with supervisor, attend staff meetings and trainings as scheduled; participate in management meetings, retreats and committees for the purpose of improving operations, safety and client service delivery.
- Provide English / Spanish translation services for clients as needed, if bi-lingual.
- Adhere to the goals, objectives, and policies and procedures of Ritter Center.
- Perform other duties as assigned.
