Roberts Markel Weinberg Butler Hailey PC (RMWBH Law) is seeking a dynamic and adaptable Executive Assistant to provide comprehensive support to our Management Team and Senior Shareholders at our Galleria office. This full-time position operates Monday through Friday, 8:30 AM – 5:30 PM.
Responsibilities:
- Manage an active calendar of appointments, coordinating schedules for the Management Team and Senior Shareholders.
- Arrange travel plans, itineraries, and agendas; compile necessary documents for meetings and travel.
- Oversee all executive communications, including emails, phone calls, and mail.
- Facilitate the client engagement process for Senior Shareholders, ensuring the procurement of required documentation.
- Support the Human Resources Department with candidate screening, onboarding, new hire orientation, and I-9 verification.
- Process monthly expenses and reimbursements in accordance with firm policies.
- Keep executives informed of upcoming commitments and priorities, providing timely follow-ups.
- Manage conflicting priorities with efficiency, ensuring tasks are handled promptly and proactively.
- Assist with additional tasks as assigned.
Qualifications:
- Bachelor’s degree preferred.
- Prior experience as an Executive Assistant required; legal assistant or paralegal experience is a plus.
- Self-starter with strong time management, organizational, and problem-solving skills.
- Proven ability to anticipate the needs of executives and handle confidential information with discretion.
- Expertise in booking and coordinating domestic and international travel.
- Exceptional written and verbal communication skills.
- Strong decision-making abilities and proactive problem-solving approach.
- Highly resourceful team player capable of independent performance.
- Proven ability to meet deadlines and achieve goals in a fast-paced environment.
- Proficient in Microsoft Office Suite and technically savvy.
